Job Description

The major responsibilities are to assist in essential administrative functions including grants management and financial tracking, managing interactions with other departments of Lurie Children’s Hospital (e.g., HR, Finance, Office of Sponsored Programs, Legal, etc), and the hiring and direct oversight of program and research staff. In addition, the Manager assists as a part of the leadership team that develops research, programming, and other related efforts. This will include the development of budgets and staffing models in grant proposals and oversight of behavioral/clinical research studies. The Manager will also participate in the production and processing of subcontracts, letters of agreement, memoranda of understanding and other legal or administrative documents.

+ Works with investigators to develop study proposals, including research design and grant writing. Works with investigator to direct the development and coordination of multiple behavioral/clinical research studies, including oversight of recruitment, enrollment, and data collection. Works with practices to engage them in research efforts. Oversees study implementation and /or delivery of interventions. Develops systems for assurance of protocol adherence and quality of data. Trains and mentors staff on all research procedures and serves as primary liaison to the PI.

+ Development of project budgets and fiscal reporting in collaboration with SCHROA faculty and leadership including the development of new grant proposals. Works to manage finances. Prepare and manage pre- and post-award grant budgets. Oversee the documentation and processing of program expenditures by project, funder, calendar, or other criteria as directed. Review internal and external fund accounts consistent with approved budgets. Inform program leader and/or Principal Investigators of variance situations, and works with the Finance Department to correct errors.

+ Directly oversees the hiring and supervision of program staff (separate, promote, demote, write and administer performance evaluations). Coordination of HR processes. This will include working with the faculty and the Division Administrator to develop job descriptions and working with the Lurie Children’s HR department to ensure the timely and effective administration of hiring and onboarding for staff and interns.

+ Creating, streamlining and ensuring consistency in office processes and overseeing other administrative aspects of day-to-day operations.

+ Development and oversight of all contractual arrangements. This may entail working with outside partners (e.g., funders, subcontractors, consultants, etc.) and Lurie Children’s administrative departments (e.g., Lurie Children’s Foundation, Accounting, Office of Sponsored Programs, Human Resources) on the creation, review, and approval of contracts, memoranda of understanding, letters of agreement, job descriptions, etc.

+ Serving as a primary point of interface with other Lurie Children’s administrative departments (e.g., Lurie Children’s Foundation, Finance and Accounting, Office of Sponsored Programs, Human Resources). This will include attending all appropriate SCHROA and Lurie Children’s business meetings

+ Bachelor’s degree required, master’s degree in a relevant field highly preferred. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the duties of the job.

+ Three or more years experience with progressive leadership; experience in clinical or behavioral research highly preferred.

+ Demonstrated ability to manage simultaneous project plans, personnel, and budgets.

+ Commitment to social justice and community driven processes.

+ Strong analytical, interpersonal, and oral and written communication skills required. High degree of initiative and creativity preferred.

+ Strong working knowledge and skills in Microsoft computer software applications and database technologies.

+ Ability to take initiative and work independently.

+ Organizational skills: Experience independently planning and managing projects; excellent attention to detail; ability to establish priorities and react promptly to a large variety of requests and needs, sometimes on short notice.
