Job Description

Responsible for the general front office duties for the clinic. Works cohesively with all other staff, providers, and administration.
Principal Duties, Responsibilities and/or Essential Functions:
Accurately maintain patient medical records by verifying patient demographics and accurate insurance information at each visit.
Routinely file/scan all documents into the correct patient medical record and in the proper location within the medical record as required by office guidelines. If applicable, assemble new patient charts as required by office policy.
Schedule patient appointments/rescheduling and cancelling appointments as necessary.
Consistently process incoming phone calls, by answering promptly and directing call to appropriate person. Take accurate messages and deliver message or tasks to appropriate person.
Regularly collect copay from patients upon arrival to the office. Collect and post other payments received for services provided. Document any pertinent information concerning financial assistance applications/ agreed upon payment arrangements in notes on patient file.
Appropriately respond to inquiries from patients regarding their account, and refer to appropriate person, if necessary.
Routinely process requests for medical records and maintain confidentiality of patient information at all times and releases patient information only upon receipt of appropriate consent forms. Provide protected health information to insurance companies to assist with claim disposition.
Prepare daily encounter forms with proper information prior to appointment and resolve encounter resolutions report weekly. Balance cash drawer daily, prepare daily cash reports/deposit slip. Balance and close cash journal daily.
Accurately enter hospital and clinic charges, determining correct CPT and ICD9 codes, if applicable.
Carry out other duties as assigned by manager, including temporary relocation to other clinics experiencing staffing issues.
