Job Description

Work on construction project team as contract administrator and organizer/tracker in chief:
a. Convert approved bidder scopes to subcontracts and purchase orders for review
by PM or Superintendent.
b. Distribute approved subcontracts and purchase orders.
c. Create and maintain well formatted
tracking system for return of executed
subcontracts and purchase orders, including current electronic records of all
executed changes.
d. Solicit insurance certificates from subcontractors and check for proper limits,
additionally insured
endorsements, etc. File electronically and track expiration
dates, following up to maintain proof of required coverages throughout project
e. Craft professional correspondence as required
f. Assist in the development of tracking systems and forms to standardize and
streamline project management functions through ProCore software, including:
i. Submittal Logs
ii. Contract & Changes Log (subs) and/or Budget Adjustment Log (owner)
iii. Request for Information
(RFI) Log
iv. Document Log (drawings & addenda)
g. Prepare invoices and track pay requests
h. Assist in preparation and assembly of draw requests, including:
i. Solicit invoices, check against contract or PO commitments and distribute
to project team for approval
ii. Gather and check lien waivers
iii. Prepare draw request in format required by lender/owner/title company,
including packet with all necessary backup
iv. Followup
to expedite receipt/review/payment
i. Assist project team with sample pickups, selections, purchases, deliveries, and
field office organization or documentation from time to time.
