The Office Support Specialist is a member of the Office of the Vice Chancellor for Institutional Advancement (OVCIA) and is located at the Illini Center in Chicago. This position is responsible for supporting a group of regional directors and reports to OVCIA’s Director of Internal Operations.

Major Duties and Responsibilities

  • Works closely with regional directors to provide office support related to fundraising activities in defined regions.
  • Supports the regional directors by coordinating travel and lodging accommodations; preparing detailed itineraries with backup documentation as needed; and monitoring and tracking of travel expenses and preparing expenses for reimbursement.
  • Utilizes TED to track and monitor alumni and donor engagement, including updating alumni and donor contact information and all related information on behalf of the regional directors, and to analyze opportunities for regional directors based data in TED and information from UIF Research.
  • Drafts correspondence in support of the cultivation and stewardship of the donors in the regional directors’ portfolios, including gathering information from various sources for proposals and reports, and preparing final, formatted documents.
  • Manages gift documentation process on behalf of the regional directors, including new fund agreements, gift processing, and other related paperwork.
  • Performs other duties as directed.

Required Qualifications

  • High school graduation or equivalent.
  • One (1) year (12 months) of work experience comparable to the second level of this series.
  • Any one or any combination of the following, totaling two (2) years (24 months) of experience in the categories below:

A. work experience performing office/clerical activities, including use of computer systems
B. college or university course work in any curriculum

  • twelve (12) semester hours = six (6) months
  • twenty-four (24) semester hours = twelve (12) months
  • thirty-six (36) semester hours = eighteen (18) months
  • forty-eight (48) semester hours = twenty-four (24) months

Preferred Qualifications

  • Bachelor’s degree

Appointment Information
This is a full-time 100% Civil Service Administrative Assistant position appointed on a 12-month service basis. The position is located in Chicago. Salary is competitive and commensurate with qualifications. The proposed start date is as soon as possible after the closing date.
