Position Summary

Under general supervision, performs a variety of moderately difficult duties primarily pertaining to admission, registration and maintenance of all educational student records.

Reporting and Supervisory Relationships

Direct reporting relationship to the Enrollment Services Manager of Student Services.

Essential Responsibilities

1. Provides professional customer service to all stakeholders by effectively communicating the policies and procedures within the Enrollment Services Office and assisting with other general College questions.

2. Provides comprehensive value added information to students in order to support functions related to enrollment.

3. Prints, processes and resolves errors with applications, inputs data into colleague respective to the various forms and processes inherent with the enrollment services office.

4. Reviews, maintains, processes, and ensures data accuracy for change of information/program requests and other reports containing similar student data.

5. Provides information to students, parents, and third parties with respect to enrollment, degree and residency verification. Assists with processing verification requests.

6. Responsible for using professional judgement and direction to problem-solve registration and other issues inherent to the Office by working professionally and appropriately with others. Follows appropriate chain of command to resolve issues. Maintains open communications with supervisor by providing status reports on projects, etc.

7. Responds to questions and requests received both over the phone and at the counter regarding admission, general policies and procedures, registration, programs, courses, etc.

8. Accepts and processes all documents inherent within the enrollment services office (application, registration, transcripts, waivers, etc.) utilizing various modes of delivery. Performs registration related activities for credit and non-credit courses.

9. Resolves errors and possible duplicate records associated with the enrollment process.

10. Retrieves and delivers mail to support services.
11. Processes mail returned to the college. Maintains the record and modifies the student accounts to reflect the updated status (residency, billing, etc.). Sends correspondence as needed to communicate issues with residency.
12. Files documents, prepares folders and maintains the educational records of former and current students (i.e. transcripts, change of information, disposal certificate, etc.),
13. Ensures office documents are filled and displaying the current versions. Ensures only current signage is displayed in the area.
14. Assists with compiling and filing registration related forms.

15. Validates student identification cards in accordance with guidelines.

16. Performs other duties as assigned within the scope of the department, consistent with the role of this position.

17. Daytime and evening hours are associated with this position.

Working Conditions/Physical Requirements

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.

Minimum Qualifications

1. High school diploma with some earned college credit.

2. One year of general office, banking or related experience.

3. Demonstrated ability to maintain confidential information/records.

4. Demonstrated effective oral and written communication skills combined with strong interpersonal skills.

5. Demonstrated ability of being detailed oriented and exhibiting a high degree of accuracy.

6. Demonstrated ability to work efficiently under conditions of heavy volume combined with stress producing situations.

7. Demonstrated excellent customer service competencies.

Preferred Qualifications

1. A.A., A.S., or Associate in Applied Science within a related field.

2. Previous work experience in higher education.

3. Working knowledge of the functions and operations within a college admission, enrollment, registrar or related office.

4. Bilingual in Spanish is preferred.
