No Duties and Responsibilities

- Receives, logs, and routes to Buyers all approved Purchase Requisitions that are electronically forwarded to Purchasing for processing. Routes unapproved requisitions to the appropriate party for sign-off before processing can be initiated.

- Processes Purchase Orders in the event one of the Buyers is out of the office. - Maintains excel spreadsheets to track monthly UPS , Postage Due, Business Reply, and Bulk Mail charges for end of month departmental charge backs. - Provides problem resolution/information sharing through communication via e-mail or telephone with internal and external customers regarding status of Purchase Requisitions, Purchase Orders, and supplier invoices. - Maintains all Purchasing Department electronic files for easy access and review. - Distributes daily incoming mail. - Distributes and accounts for funds used for vending machine reimbursement. - Performs receiving function for Lawson Purchase Orders, as directed. - Contacts vending partners to request repairs on selected equipment – Beverage/Snack equipment. - Contacts current suppliers or source potential suppliers as directed to request product /service information and or pricing. - Processes Check Requisitions to Accounts Payable, UPS Weekly Invoices, postage meter replenishment, Permit replenishment, Rambler Buck payments to selected suppliers, Oce Business Services monthly invoices. - Processes Journal Entries to University Finance for departmental postage charge backs ? UPS , Bulk Mail charges, Postage Due Charges, Business Reply charges for the WTC / LSC . - Contacts/tours hotels in the immediate area of each campus to inspect facilities and obtain Loyola pricing. Posts approved hotels to the Purchasing website. - Provides exposure and participation in the Request for Proposal process. - Serves as website administrator to make changes / additions to the Purchasing, Mailroom, and Printing Services website. - Compiles and updates as necessary, the Purchasing Assistant Operational Manual. - Provides Departmental charge back information for the monthly Wright Express Fuel Invoice. - Performs special projects as assigned. - Performs related duties as assigned. Minimum Education and/or Work Experience

Minimum High School diploma, some college preferred. One to two years of Purchasing experience, including clerical accounting skills and prior exposure to a fast-paced work environment.


- Ability to communicate effectively both verbally and in writing.

- Proficient in cost search activities, not limited to competitive bidding, internet searches, networking and experience. - Must demonstrate a proven track record of the ability to cooperate, prioritize, organize and multi-task in a flexible, fast paced and challenging environment to effectively meet deadlines. - Excellent customer service, organization skills and attention to detail. Computer Skills

Knowledge of MS office suite; MS Excel or Spreadsheets and MS Access. Adept user of Internet, e-mail and other office automation systems.

Lawson Experience a plus Content Management System Experience a plus.
