Commercial Real Estate Firm located in Oakbrook has an immediate need for an Administrative professional. The Administrative Assistant will provide support to the office and the leaders. The ideal candidate must be exceedingly well organized, flexible and be able to effectively work through daily challenges. Should possess the ability to interact with staff (at all levels), visitors and vendors in a fast-paced environment, sometimes under pressure, while remaining proactive, resourceful and efficient. A high level of professionalism and confidentiality is crucial to this role. Expert level of written and verbal communication skills, strong decision-making ability and attention to detail are equally important. Responsibilities: Provide administrative support within the company when needed. Coordinate conference room scheduling, meeting arrangements, and catering needs. New hire setup, including desk, phone, and forms. Answer phones, transfer calls to appropriate parties, and relay messages. Accept visitors, greet clients, and act as the face of the company. Process incoming and outgoing mail and packages. Code and approve assigned invoices. Monitor inventory of office and kitchen supplies. Contact building to create work orders, order key cards, add visitors, etc. Contact appropriate vendors to resolve IT issues. Maintain receipts for company Amex card purchase. Assist with updating contact lists. Work with team members throughout the entire company.

• Strong working knowledge of Microsoft Office: Word, Excel, Outlook
• Bachelor’s degree is preferred
• Strong communication skills (oral, written & presentation)
• Must possess a professional presence and be a strong relationship builder
• Have an eye for detail and be able to find creative solutions for problems
• Ability to work under pressure while efficiently multi-tasking on various projects
• Ability to organize and self-manage
