As our Executive Administrative Assistant you will serves as the primary point of contact for most internal and external matters pertaining to the President and Executive Leadership team. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic and efficient balance among multiple priorities. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Here’s what you can expect every day:
Manage professional and personal scheduling for President and Executive Leadership team, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Organize team communications and plan events, both internally and offsite
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the President’s office and internaldepartments; demonstrating leadership to maintain credibility, trust and support with senior leadership staff.
Successfully completes critical aspects of deliverables with a hands-on approach, includingdrafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President’s ability to effectively lead their organization.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Maintain records of expenses and provide updates on payment status of invoices as requested.
Update and create organizational charts for annual Org review meetings. Curate and disseminate corporate communications for department.

8-10 years administrative support experience
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders
Expert level written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player, with the ability to also be extremely effective independentlyProven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
