Job Description

Position Summary:

Our organization is looking for a highly motivated, detail-oriented, self-starter, with a positive outlook, along with willingness and ability to work with and help others to join our project management office (PMO) team on a locally-supported defense contract. The PMO Support Administrative Specialist will perform general support, onboarding and account functions and scheduling functions for a defense contract and company employees, in a fast-paced, ever-changing environment. Functions include MS Project schedules, contract personnel onboarding, user account requests, secure access requests and letters, and ensuring all accounts stay compliant in accordance with customer security requirements.

Clearance Requirement:

Ability to obtain a DoD secret-level security clearance; must be able to pass a complete background check, to possibly include a credit check.


Position is junior-level and the right candidate will exhibit a willingness to learn and grow.
Displays clear understanding and knowledge of account requirements and processes, adhering to customer and account management guidelines and regulations while clearly articulating and upholding those requirements for new hires, current staff, and management personnel.
Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms and certification control, and personnel requirements, recommending process improvements to management.
Creates and revises project schedules, permissions, adheres to scheduling contract requirements, and monthly consolidating of inputs to prepare for customer briefings, recommending process improvements to management.
Displays clear understanding and knowledge of Project schedule requirements and processes, adhering to customer and project schedule guidelines and regulations while clearly articulating and upholding those requirements for current staff and management personnel.
Must exhibit diplomacy and consideration towards all people; acts as the liaison between contract personnel and customer.


Resolves scheduling problems by coordinating with advocates and identifying solutions.
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Excellent time management skills and the ability to prioritize work without supervision.
Meticulous attention to detail required.
Must exhibit effective written and verbal communication skills.
Strong organizational skills with the ability to multi-task, as well as adapt quickly to fast-paced, changing environment and requirements.

DESIRED: Working knowledge of MS SharePoint and Adobe products

Position is junior-level


General office environment. Work is generally sedentary in nature, but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are not hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
