Robert Half has an amazing opportunity for an experienced Executive Assistant for a client located in the Chicago/Rosemont area. This position will provide onsite administrative support for the General Counsel and other members of the Legal Department. The Executive Assistant must be effective in planning, prioritizing, and executing tasks in a timely manner. This dynamic position provides a high level of professional support incorporating a balance of senior level administration, including calendar management, travel coordination, expense management, and planning, organizing, and coordinating activities for the Executive Leadership Team. This is a fast-paced opportunity for a professional who takes pride in delivering the highest quality work product and has exceptional attention to detail.

Key Responsibilities

+ Calendar meetings and schedule and assist with conference and Teams calls

+ Maintain attorney calendars and coordinate schedules

+ Coordinate and schedule travel arrangements

+ Draft general correspondence and other documents

+ Generate, edit and file correspondence and documents

+ Facilitate service-of-process procedure

+ Assist General Counsel with audit letters

+ Open and distribute Department mail

+ Facilitate signing of Company contracts and documents

+ Administer Department filing procedures (electronic and paper)

+ Monitor Legal Review inbox for review requests

+ Prepare and issue Notice of Claims for insurance company

Requirements

Qualifications/Requirements

Five or more years of experience as an executive administrator

+ Ability to work onsite five (5) days a week.

+ Experience supporting multiple professionals at the same time.

+ Expert knowledge in Microsoft Office Suite programs.

+ Proactive, self-starter who enjoys working independently with minimal supervision.

+ Excellent time-management and organizational skills, and comfortable prioritizing multiple projects from multiple individuals.

+ Must be detail oriented and possess high quality administrative skills.

+ Committed to maintaining confidentiality.

+ Some knowledge of legal terminology, processes and documentation is a plus.
