What you'll do:
Provide high-level administrative support to the Director of Distribution Center, Managers, Supervisors, and the Operations SLT Team. Includes internal and external communications, reports, financial updates, presentations, travel and meeting arrangements, AP processes, and vendor assistance. Provide accurate Payroll processing and prompt resolution of payroll issues for distribution staff and staffing agencies onsite. Follow up SAP purchases with the Procurement Team and manage issues between AP and SAP. Order computer hardware, software and/or special peripherals for the Operation Division when requested. Serve as the Liaison between the DC and Staffing Agencies.

Working in the Geneva Distribution Center, the administrative coordinator will be responsible for the following primary duties:
Month-end Reports: Account Based Costing, Employee Sharing Program, Accruals, Overtime Comparison Report, Perfect Attendance, Points Report, SAP Financials, Headcount, Organizational Charts, All employee list, etc.
Accounts Payable: AP Vouchers, verify coding and pricing of invoices, accruals update, vendor updates, vendor customer service. Purchase card credit card holder.
Payroll: process payroll of RFT employees to the HR Team and the Temporary workers to their agencies, resolve any payroll issues, and agency boarding processes.
Meeting presentations, order supplies and purchases of anything needed for the DC day-to-day operation, travel arrangements, training, document retention, staff's schedules, meeting and event planning, etc.
SLT Team support: (including but not limited to the Customer Service Team, Operational Excellent Team, and Performance Measurement Team) set up interviews, review reports, Org Charts, send CS orders, deposit payment checks, special project, etc.
Human Resources support: new hire paperwork, I-9's, any status changes to a RFT employee's, Exit Surveys, etc.
Special projects: Coordinate events and meetings, manage correspondence of the DC, the Customer Service and Sales offices.

What you'll need:
High School Diploma / General Education Degree (GED)
A minimum of three years of related administrative work experience
Proficient with all Microsoft Office Suite (Word, Excel, PowerPoint, Access, etc.) and advanced use of office technologies including Outlook, MS Teams, and Box
Detail-oriented and thorough in execution.
Clear, succinct, and professional oral and written communication.
Ability to prioritize tasks effectively and develop and implement creative solutions and systems quickly.
Flexibility and adaptability to constantly changing environment and needs.
Possess a high energy level, integrity, and a strong work ethic.
Self-starter and pro-active approach to all tasks.
Some travel for company events as requested.
Calm demeanor and highly collaborative problem-solving and taking on new challenges.
Excellent interpersonal skills
Preferred but not necessary:
Associate degree or higher education
Fluent in Spanish (verbal and writing)
