Summary: Manages all aspects of meeting strategies & logistics for mid-size to large (meeting size varies) ACS and Association Management (AM) client virtual, in-person, and hybrid meetings, including pre-conference planning, budgets/expenses, on-site execution, and post event reporting. Collaborates with ACS staff liaisons and AM client Board members, association Presidents and/or Program Chairs. Leads efforts in negotiating contracts with venues and multiple vendors, with emphasis on and experience in negotiating attrition, Force Majeure, and cancellation clauses. Demonstrated ability to maintain and develop positive and strong relationships with industry suppliers/partners and other meeting planning professionals. For Clinical Congress (the ACS annual meeting), will potentially support planning efforts at either the Headquarter Hotel or Convention Center.
Assesses and implements new/innovative meeting strategies and trends, manages and ensures on-site health safety protocols are implemented and executed, and ensures critical deadline and budgetary guidelines are adhered to while meeting high-quality standards. Must have ability to multi-task and possess proven leadership skills with the ability to influence others to reach desired outcomes and action steps. Excellent communication, interpersonal, negotiation, diplomacy, organizational, and project management skills are essential.
This exempt position will report to the Senior Manager, Meeting Services in the Division of Convention and Meetings. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

Required Education and/or Experience:
Bachelor's or Associate's degree preferred, but not required.


Minimum of 4+ years meeting planning experience in a similar or related role required. Medical or Association meeting experience is preferred.


Experience with contract negotiation, pre-planning and onsite management is required.


Experience creating and managing budgets is required.


Certified Meeting Planner (CMP) or Certified Meeting Manager (CMM) designation preferred, but not required.


Strong working knowledge of Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Internet skills.
