Summary: This position is responsible for providing senior-level executive support to the Executive Director & Chief Executive Officer (CEO) of the American College of Surgeons. This includes managing the office of the CEO; prioritizing and addressing the spectrum of activities of the office of the CEO and Executive Services; serving as the pivot for communications to and from the CEO (both internal and external); working in collaboration with the Chief of Staff to prioritize and address requests from Division leaders in regards to existing/new projects and overall operations; managing schedule/travel/meetings and meeting requests/conference calls of the CEO; supporting ad-hoc projects and initiatives of the Executive Services office; and arranging visits of key leaders, officials, representatives from other organizations; supporting a range of activities as assigned. This position will interact regularly with key national leaders and their principal staff members from across the country, leaders of the American College of Surgeons, Board Members and Officers of the American College of Surgeons and Executive Staff Members, senior hospital and university officials, federal agencies, accreditation bodies, and professional organizations. All work must be of the highest quality and include a high level of attention to detail, professionalism, independence, and confidentiality.
This exempt position will report to the Executive Director and CEO in the Division of Executive Services. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.
Responsibilities:
Manage and support the spectrum of activities, projects, and priorities of the CEO and Executive Services office. Design and implement systems and standard operating procedures to track and support various projects and assignments to ensure timely and efficient completion. Work closely with the Chief of Staff and Executive Services team members to support the activities of the CEO and the organization. Manage all arrangements associated with speaking engagements including working with the speechwriter to coordinate presentation needs. Update curriculum vitae (CV) on a regular basis.
Prioritize and handle meetings and meeting requests, electronic and print communications including correspondence requests, and other document development as assigned. Triage and bring critical items to the attention of the CEO especially when the CEO is traveling or engaged in other national or College-related activities. Prioritize, schedule, and maintain a very complex calendar and schedule of the CEO, schedule meetings and conference calls per the CEO's availability, and manage all domestic and international travel including preparation of detailed travel itineraries. Organize visits and meetings of and with national leaders and VIPs when such meetings occur on-site at ACS, and when off-site while Director is traveling. Maintain and complete all expense reports related to CEO's travel. Track and submit expenses.
Responsible for completion of independent projects, and other duties and projects as assigned by the CEO.
Required Education and/or Experience:
Bachelor's degree or higher from an accredited college or university is strongly preferred.
At least 7-10+ years of similar or related experience supporting CEOs, SVPs, and c-suite operations is required; experience in associations, professional services, and/or healthcare is a plus.
Must be able to maintain confidentiality, operate with professionalism, and demonstrate accuracy in work product.
Strong organizational skills; ability to plan and prioritize workload and manage multiple projects with competing priorities.
Excellent communication skills (verbal, written, and proofreading) and strong interpersonal skills required.
