Your role.
Your work will include, but not be limited to:

*Taking inventory and ordering supplies, including grocery purchases when requested
*Stocking supply areas and kitchens with proper supplies; straighten and clean
*Responsible for keeping file room, kitchens and copy areas clean and orderly
*Sort incoming and outgoing mail and packages. Sorting mail to appropriate bins after pick up
*Delivering mail received from the USPS, UPS, Fed EX and other express agencies internally daily and to other office locations
*Assist with client and other deliveries during tax season
*Prepares packages for express shipping and for shipping/courier to other Plante Moran office locations
*Processes outgoing mail using a scale and postage meter; determines class or type of rate for sending mail together with related costs
*Maintains accurate information related to changes in postal rates and regulations
*Keep adequate supplies available to staff for all mailing services (Fed EX, Certified Mail, etc.)
*Reorganizes mail boxes as required
*Must use WYN and/or Practice Management daily to look up clients to unite mystery mail to staff
*Printing and/or binding large projects as requested, other administrative coverage as needed/requested
*Purging and/or scanning files, preps files for offsite storage, as requested
*Takes deposits to bank when requested
*Assist with interfacing and managing vendors or contractors as assigned by the Regional Facilities Manager, Office Manager or Procurement & Real Estate Manager
*Setting up beverages and food for meetings, lunches and dinners
*Setting up technology for meetings in conference rooms and assisting staff in troubleshooting
*May serve as back-up for other administrative support team members

The qualifications

*HS Diploma or GED equivalent required. 


*Associates degree or industry related certification is preferred.
*At least 3 years of facilities experience in a Class A office building setting, preferably working with various office equipment (mail meter machines, copiers, binding equipment, etc). MS Office experience required (MOS certified a plus)


*Must be able to remain in a stationary sitting position for at least 50% of the time.


*Must be able to lift at least 30 lbs- specific job duties may require additional lifting to move, transport, position and install equipment; frequently moves and transports packages weighing up to 50 lbs


*Frequently positions self to bend and lift packages. 


*Occasional moving & lifting of equipment; bending, lifting, climbing required to position self to maintain computers during engagements. 


*Person in position needs to occasionally move about the inside of the office to access machinery, cabinets, etc. 


*Person in position frequently communicates with individuals who have inquires. Must be able to exchange information in these situations. 


*Ability to work in a high stress environment. 


*Reliable transportation and valid driver's license are required including a clean driving record. 


*Minimum levels of auto insurance coverage are required. 


*Ability to travel locally, work overtime and weekends is required. 


*Ability to travel overnight or internationally may be required.

 

Note: Position may require some Saturday work hours during tax season (January through April) and overtime from time to time during the remainder of the year. Position may require 24/7 availability.
