Summary: Manages all components related to exhibits, advertising, sponsorships, and satellite symposiums, for internal and external clients and ACS Chapters. Manages on-site operations for numerous meetings. Leads in the development of exhibition budgets and keeps projects on schedule and within budget. Provides guidance and direction to the exhibits team, external board members, volunteer leadership, Association Management (AM) clients and vendors. Partners with Convention & Meetings (C&M) leaders to develop and implement Division goals, objectives, and strategies. Partners with Associate Director to develop exhibit team goals and is instrumental in implementing those strategies.
This exempt position will report to the Associate Director, Convention & Meetings in the Division of Convention & Meetings. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.
Primary Responsibilities:
Manages all components related to exhibits, advertising, sponsorships, satellite symposiums, and filing of unrestricted educational grants. Directs and manages general contractor with design of the exhibit hall floor and with the development of other floor plans if required. Management of on-site operations. Manages other service providers as required. Ensures that exhibits and sponsorships are compliant with ACCME guidelines. Creates and implements timelines and schedules.


Guides and manages external board members, volunteer leadership, and association management team to develop exhibition budget and sponsorship/advertising budgets. Adheres to budget parameters and notifies client and leadership of discrepancies. Works closely with Senior Meetings Manager and Registration Manager to ensure their budget items are on target. Provides guidance to registration team relating to exhibitor registration process and procedures.


Develops and manages industry strategies for clients. Continuously researches new revenue streams to enhance the meeting and increase revenue. Collaborates with Associate Director to develop exhibit team goals and is instrumental in implementing strategies. Partners with C&M leadership to develop and implement Division goals, objectives, and strategies.


Manages production of exhibit promotional pieces and ensures deadlines are met. Manages general contractor RFP process and analysis of proposals and presents to leadership. Develops timelines and production schedules and identifies roadblocks. Manages exhibition database.

Required Education and/or Experience:
Bachelor's or Associate's degree preferred, but not required.


Minimum of 5+ years working with exhibits in a similar or related role required. Medical or Association meeting experience is preferred.


Experience working with exhibit management systems is preferred.


Strong working knowledge of Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Internet skills.
