Position Summary
Serve as technical partner for the Modern Campus Lumens system, including daily troubleshooting, upgrades, documentation, and training. Coordinate quarterly production of Workforce Training Catalog. Develop and execute a quarterly marketing plan for the Workforce Training program. Serve as primary point of contact for interface with business office.
Essential Job Functions and Responsibilities
Coordinate with institutional stakeholders to ensure full integration between Modern Campus Lumens and Colleague ERP
Create, maintain, and distribute end-user documentation related to Lumens workflow
Provide end-user training for new Lumens users
Work with internal partners to resolve discrepancies in daily processing to maintain the accuracy of student, class, and financial data
Initiate escalation of Lumens helps tickets with backup documentation. Monitor Lumens help ticket status, and subscribe to Zendesk to track proposed updates
Coordinate with IT to initiate and test any system fixes or upgrades
Create, maintain, and distribute end-user process documentation related to Lumens workflow
Provide end-user training for new Lumens users
Generate and maintain budget reporting for Workforce Development Division including budget transfers and journal entry requests
Oversee third party sponsorship and invoicing process for the Workforce Development division
Maintain client contact list and profiles
Maintain the vendor, purchasing, and payment process for the Workforce Training Program and Workforce Development administration
Serve as accounting liaison for the Workforce Development division
Coordinate the preparation of the quarterly Catalyst schedule from beginning to completion, including determining training schedule, instructor availability, course/class build, data extraction, design guidance and proofing
Design and release weekly Workforce Training E-Blasts promoting new training topics, seminars, courses, and information from the Workforce Training Program and other MCC offerings of interest to the business community in alignment with OMPR standards
Create quarterly social media schedule
Collaborate with Institutional Research on survey design. Maintain instructional material order system and corresponding purchase orders for the Workforce Training Programs
Serve as the Department/Division's IT liaison representative
Serve on college-wide Data Standards Committee, Curriculum and Faculty Information Team (CUFI), monthly Accounting Variance meeting, and Colleague User Acceptance Testing Team
Work collaboratively with others (e.g. colleagues, stakeholders, vendors) to accomplish functions and responsibilities
Assume additional duties as assigned by immediate supervisor
Required Qualifications
Associate's degree from a regionally accredited institution
Two years of related experience. Experience may include financial analysis, marketing analysis, invoice development, budget reporting and/or data retention and reporting for grants
