Summary:

The Academic Program Manager will be responsible for the planning, facilitation, implementation and completion of multiple activities, projects, proposals and events sponsored by the Office of Faculty Affairs and the Office of Global Health. The manager serves as the primary liaison for the department, interacting effectively with all other university offices as well as Marketing, Fund Accounting, Administration, Philanthropy and external agencies to assure optimal function of the office. Required Job Qualifications:

- Bachelor’s degree.

- Three years of related experience.

- Computer skills, including knowledge of word processing, databases, and web development software, etc.

- Technological savvy and experience working with web-based survey and assessment tools

- Ability to work independently and exercise sound judgment

- Excellent oral and written communications.

- Strong analytical ability and problem-solving skills;

- Strong organizational skills; self-motivated; able to work independently and follow-up on assignments; able to make and implement plans, able to maintain sound judgment, and identify and correct problems as they occur.

- Ability to work in cooperative, interactive group setting.

- Working knowledge of MS Office, word processing, Excel, databases, website maintenance and Outlook.

Preferred Job Qualifications:

- Master’s degree.

Responsibilities:

PLANNING AND LOGISTICAL SUPPORT FOR ALL DEPARTMENT EVENTS (GLOBAL HEALTH AND FACULTY AFFAIRS)

1. Identify areas for process improvement to enhance operational effectiveness and recommend solutions.

2. Manages aspects of event planning (receptions, award banquets, lectures, luncheons, and seminars) including development of materials, invitations and coordination of outside vendor services. Makes recommendations for contracts with caterers, graphic designers, etc.

3. Manages programming and logistical support for educational activities.

4. Manages Global Health University academic offerings (program content, interface with marketing, email recruitment, brochure development, speakers, and logistics).

5. Oversees all aspects of Global Health Symposium (recruitment of participants/ judges, logistics, event marketing, week of- coordination, and all other aspects of planning).

6. Manage all aspects of the annual faculty recognition reception including nomination process, scoring, review and winner determination, faculty accomplishments collection and review, winner blurbs, program drafting, plaque acquisition and logistics of reception.

7. Co-facilitates Global Health programs teaching sessions.

8. Develops routine and special reports, surveys, evaluations, etc.

9. Creates PowerPoint presentations of all activities and analytical data collected by both Offices.

10. Assists with managing data related to clinical service in sponsored service trips (maintaining database of volunteers and case logs).

11. Participate on Global Health service trips (two weeks/year).

12. Oversees the Global Health warehouse organization and management for trip efficiency, resource allocation, and preservation.

13. Acquires CME permissions for programs offered by the offices of Faculty Affairs and Global Health and distributes CME credits for attendance.

14. Consults with faculty on PowerPoint presentations and creation of educational materials.

15. Participates in professional development activities including attending national/local conferences, workshops and seminars.

FINANCIAL MANAGEMENT

16. Manages Global Health funds management.

17. Monitors budget, expenses and tracks reimbursements.

18. Tracks Student scholarships, fund raising

19. Prepares check requests for reimbursement.

MARKETING STRATEGY AND MATERIALS DEVELOPMENT

20. Develops marketing and communications initiatives.

21. Develops marketing materials for academic and social activities of the office.

22. Designs, develops and manages Website for both offices to create concise web page presence.

23. Manages departmental portal.

ADMINISTRATIVE SUPPORT

24. Guides administrative support staff. Provide cross training as needed to assure suitable coverage

25. Reviews processes and recommends changes to administrative, marketing, and planning components

26. Prepares travel arrangements including travel authorization forms and advances.

27. Acts as liaison to IT to ensure technology systems are properly installed and maintained

28. Answers phones, takes messages, and maintains electronic calendars for the Associate Provost and the director of the Office of Global Health.

29. Maintains records and files for all areas of the office.
