Description:

The Office Administrator within the Division of Community Health Sciences is responsible for initiating and coordinating the office support functions required for the effective implementation of administrative policies of the Division. Duties required extensive knowledge of the organization, programs, policies and procedures.

Duties & Responsibilities:

Responsible for day-to-day administrative operations of the unit which include keep management informed of overall financial position within the unit, assist to reconcile department non-grant fund transactions, room reservations, catering, maintenance issues, submitting work orders, space utilization, office set up, key and building access requests.
Provides administrative support to faculty, staff, employees, and vendors within the division: authorization of fiscal transactions, monitoring of fiscal transactions, travel reimbursements, Professional Development, Professional & Artistic Services Agreements/contracts, Tcard or Pcard issues, equipment records, expenses, organization activities and travel.
Prepares, reviews, maintains, and administers reports such as special requests reports, reconcile reports, departmental reports, financial and HR records of the unit.
Updates various databases related to personnel changes such labor distributions, user security access, effort reporting, new CFOP number for ICR, gift fund, etc.
Maintains an overall awareness of organization activities of import or impact to the designated member(s) of the unit staff and the unit such as any incoming mail, activities, inquiries and resolves problems which may require interpretation, explanation or defense of unit policies, guidelines, or functions.
Participates in the analysis, design, and implementation of office information systems; develops and implements procedures and recordkeeping systems to support the administrative functions performed by the unit.
Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

High school diploma or equivalent.
Any one of the following from the categories below:
A. Four (4) years (48 months) of work experience comparable to the third level of this series.

B. Two (2) years (24 months) of work experience comparable to the fourth level of this series.

Preferred Qualifications:

Bachelor's degree.
