Job Summary

This position has deep knowledge and expertise within Alumni Relations and leads a program designed to engage the alumni community worldwide, increase participation, and advance the objectives of the Alumni Associations, the broader University and divisional alumni initiatives. Researches, executes, and implements best practices in alumni relationship management. Works with the Alumni Board of Governors to create and implement guidelines to govern shared interest groups.

Responsibilities
  • Serves as the primary planner, coordinator, executer, and evaluator of all Advancement-driven-events, in partnership with the Director of Events.
  • Develops and manages all event budgets, monitors spending, and delivers final budget evaluations to the Director post-event.
  • Serves as Advancement's primary event-related contact with Booth Accounting and Contracts, to ensure that deadlines are met and payments are made.
  • Partners with the Director in regional strategy sessions to understand market plans so that event strategies achieve goals.
  • Selects all event venues and locations.
  • Works with the Individual Giving and Alumni Engagement teams to ensure events assist in achieving fundraising and engagement goals.
  • Manages all event working group meetings to align event strategies.
  • Creatively capitalizes on opportunities, such as the campaign to create new and improved special event programming, that corresponds with the School's evolving priorities and goals.
  • Partners with the Director to manage the event registration system.
  • Provides leadership and mentorship of junior members of the events team.
  • Travels as necessary to provide oversight of events domestically and internationally.
  • Leads and coordinates the planning, organization, and management of events, programs, and services designed to cultivate and maintain ties between the University of Chicago and key constituent groups. Creates a marketing plan to maximize participation and engagement of alumni, parents, and friends.
  • Leads strategic planning, data management, the creation and tracking of metrics, and the creation and implementation of new constituent relations programs worldwide. Measures, tracks, and reports participation and success of initiatives.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Education:
  • Master's degree.

Experience:
  • A minimum seven years of experience in event management.
  • Higher education advancement experience.
  • Proven experience setting and managing a budget.

Technical Skills or Knowledge:
  • Demonstrated proficiency with MS Office (Word, Excel, PowerPoint, and Outlook).
  • Event management software and databases.

Preferred Competencies
  • Excellent organizational, decision-making, problem-solving, and research/investigative skills.
  • Outstanding verbal, written, and presentation skills, as well as strong attention to detail.
  • Create, implement, support, and evaluate a multi-year events strategic plan.
  • Work independently with little supervision; possess a self-motivated disposition; identify opportunities for improvement and recommend effective changes, all while achieving key objectives resulting in desired outcomes.
  • Handle multiple detailed tasks/projects simultaneously and meet strict deadlines within a fast-paced environment.
  • Demonstrated ability to work effectively and diplomatically with leaders, colleagues, as well as with students, faculty, with large groups and the public in a multitude of communication methods i.e., in person, email, phone.
  • Work well with others and be a collaborative member of a team.
  • Professional demeanor, including tact, discretion, and a customer service-oriented approach.

Working Conditions
  • Travel to campus and/or non-campus locations for University business.
  • Work evenings and weekends on occasion.
  • This position is currently expected to work a minimum three days per week in the office.
