Job Title: Event & Tradeshow Coordinator

About the opportunity: This role is responsible for driving efficient tradeshow and event planning and execution, support of sales team requests, and marketing communications budget management. In this highly visible position, you will provide collateral support for our sales team and organize our trade show presence for local and national events.

Location: This is a hybrid position, and will report to the Wood Dale, IL facility on Wednesdays and Thursdays.

What you will be doing:

+ Develop tradeshow strategy and own tradeshow management schedule

+ Create detailed proposals for all events, including timelines, schedules, venues, vendors, staffing and budgets.

+ Maintain tradeshow budget. Work efficiently to stay within budget; seek out more economic processes and options to reduce costs

+ Register for and manage events with full understanding of terms & conditions regarding payment requirements, set-up/tear-down, display, etc.

+ Plan logistics including booking booth and meeting space, creation of registration badges as needed, coordinating signage, literature, demonstration equipment , and coordinating hotel stays as needed.

+ Work with warehouse, service teams to ship all exhibit materials to and from shows

+ Work with Marketing Supervisor to execute PHCNA participation at distributor events

+ Responsible for ensuring all required ancillary items are at the tradeshows and events and are returned as required. Coordinate successful install and dismantle of booth

+ Process tradeshow related invoices for payment

+ Analyze the success of each event and propose effective improvements.

+ Process and analyze all tradeshow requests. Attend trade shows as needed as well as assist in the setup and tear down of exhibits.

+ Manage the marketing team budget and forecast expenditures monthly, quarterly, and and track invoices

+ Reconcile checkbook with forecast at the end of each month

+ Prepare accrual list. Provide all invoices/insertion orders/payments to prove and provide monthly payments and to accrue line items.

+ Process department payments; create purchase orders

+ Organize and track invoices

+ Performs other related duties as assigned.

What you need for success:

+ Bachelor’s degree in relevant field (Marketing, Advertising, Communications)

+ Minimum 1-2 years’ experience planning, coordinating and executing tradeshows

+ Comprehensive background in MS Office suite of programs; Word, Excel, Outlook, PowerPoint

+ InDesign and Adobe Creative Cloud experience a plus

+ Occasional domestic travel – 25-30%

+ May have to work in the following: PHCNA’s Service Shop, Research Laboratories, Industrial Settings, Hospitals, Pharmacies and other Biomedical/ Life Science facilities.
