Job Description
Heartland Community College seeks applicants for a full-time position to assist with processes, operations, and events of the HCC Foundation, with a focus on supporting functions related to donations, donor information, alumni, and rentals. The Program Assistant serves as support for the Foundation Board of Directors and the College’s Development staff.
General responsibilities include but are not limited to:
- Serve as support for the Foundation Board of Directors and committees; schedule meetings, communicate with committee chairs, and prep information for directors and their meetings
- Prepare purchase requisitions, Foundation event financial reports, and procurement card (p-card) statements for both the Foundation and Development
- Assist in the planning and implementation of Foundation events, including but not limited to Heartland Night Out, golf outings, and director lead events; receive RSVPs, collect donations, provide support during the event, and other assistance as appropriate to the event
- Assist with updating the HCC Foundation Board Policy Manual, Administrative Procedures Manual, and other designated documents
- Manage the process for donor receipt/acknowledgment letters, including set up and sending in Raisers Edge
- Support fundraising activities for annual and major gift fundraising campaigns
- Assist with website updates and maintenance
- Assist with special projects and events as assigned, including those requiring non-routine hours (evening, weekend, and/or early morning)
- Protect confidentiality of sensitive information including all records and conversations related to students and donors
- Associate degree or appropriate experience/education
- Excellent written, verbal, and interpersonal communication skills
- Experience successfully organizing and managing the details of multiple diverse tasks simultaneously
- Familiarity with Microsoft Office programs, such as Word, Excel, and Outlook
- Demonstrated ability to problem-solve, take initiative, and work independently
- Ability to work effectively and inclusively within a diverse campus community, including with donors, Board members, employees, and other community members
- Availability to work occasional evening, weekend, and/or early morning hours for special events
- Familiarity with Raisers Edge fundraising software
- Familiarity with 25Live software
- Familiarity with LiveAlumni software
- Experience with event planning
- Experience working with a non-profit board
