Job Description

To serve the specific clerical and administrative support needs of the Division, including the Deans, Faculty, and Staff members.

Essential Job Functions:
 
Fulfill administrative duties to Dean, lead instructors, and faculty members of the Divisions such as, but is not limited to the following:

Serve as Office Manager for the Division.
 
Assist Dean with Fall, Spring, Inter-Session and Summer Schedules.
 
Assist Dean with specialized projects.
 
Receive incoming telephone calls and respond or forward with appropriate notations to the appropriate office or individual.
 
Prepare or maintain correspondence and records of a highly confidential nature including tests, final examinations, and performance evaluations for faculty and students.

Prepare all purchase order requests, payments, work orders for building, bookstore, and office and instructional supply requisitions, travel authorizations and reimbursements, mileage, and time sheets. 
 
Have knowledge of and work on Internet, E-mail, Voice Mail, Fax, Scanning Devices, Datatel Colleague and EMS.
 
Sort and distribute mail daily.
 
Take notes at Division meetings.
 
Prepare packages for return mail when materials need to be sent back.
 
Send work orders via email/phone call for our designated buildings
 
Maintain bulletin boards and kiosks.
 
Verify college express attendance.
 
Maintain office/copier supplies for Division.
 
Maintain type, file and update course outlines. Update online syllabi every fall for Division courses.
 
Type address lists/labels for numerous committees, events, and participant lists.
 
Be a contact person for lost and found items.
 
Supervise and train student workers and work-studies.
 
Get quotes and type bids on new equipment being purchased.
 
Be a frontline resource for faculty/staff, student and community questions/complaints etc.
 
Order desk copies and supplementary materials for instructors from a variety of publishers and publishing houses by telephone, fax or email.
 
Manage Dean’s calendar and appointments.
 
Distribute student evaluation packets to evaluate instructors each semester.  Track and file the returned student evaluation packets.
 
Assist faculty with copying or graphic requests when needed.
 
Keep track of full-time faculty attendance for leave report and mileage reimbursement for part-time faculty.
 
Assist in filling out paper work, gather material and text for new faculty, and orientate them to the Division.
 
Maintain filing system for all current and previously employed full and part-time faculty and student employees. 
 
Schedule rooms for faculty/staff in EMS system.
 
Be a resource for faculty/staff in the operation of computers, LCD, and AV equipment when having problems etc. and call for additional assistance if needed.
 
Deliver and pick up tests to/from Assessment Center when needed for faculty.
 
Assume other duties and responsibilities as assigned.
