SENIOR PERSONNEL ASSISTANT

Department of Public Health

Human Resources

Number of Positions: 2

This position is open to current BIDDERS from AFSCME AND the PUBLIC including current city employees in other unions or non-union positions.? Only current city employees covered under the City’s Collective Bargaining Agreement with AFSCME are considered BIDDERS, these individuals are eligible to bid. Qualified BIDDERS who properly submit a bid will receive preference over any non-bidders.

ROLE SUMMARY

Under supervision, performs responsible paraprofessional duties relative to personnel administration, and performs related duties as required.

ESSENTIAL DUTIES

• Performs payroll and timekeeping functions for the department (e.g., payroll reports, vacation, new hires, exiting employees)

• Serves as liaison with payroll and benefits staff

• Receives and verifies information on documents related to various personnel actions (e.g., leaves, retirements, terminations, suspensions, resignations, deaths, reinstatements)

• Answers inquiries regarding employment opportunities

• Maintains classification schedules and job specifications

• Collects job documentation and prepares bid announcements

• Assists candidates in the application process and in the completion of employment forms

• Inform employees and family members of benefits

• Monitors training offered by the City’s Department of Human Resources and disseminates information to employees

• Compiles workforce data (e.g., Equal Employment Opportunity, Affirmative Action, labor relations, absenteeism, vacancy, turnover, salvage reports)

• Compiles personnel cost data for preparation of the department’s personnel budget

• Interviews students for employment programs

Additional duties may be required for this position.

Location: 333 S State St Chicago, IL 60604

Days: Monday – Friday

Hours: 8:30AM – 4:30PM

Qualifications:

MINIMUM QUALFICATIONS

Experience

• Two years of work experience in human resources/personnel work AND/OR an Associate’s Degree or higher from an accredited college or university in Human Resources, Business Administration or a directly related field.

OTHER KNOWLEDGE, SKILLS, ATTRIBUTES, AND ABILITIES

• Proficiency with MS Office

• Strong written and verbal communication skills

• Ability to learn new skills and information

• Ability to problem solve

• Ability to work well with others

• Thoroughness and attention to detail

• Dependability

SELECTION REQUIREMENTS

This position requires applicants to complete an interview which will include a skills assessment as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected.

This position is funded by a federal grant. These funds may be extended, but CDPH cannot guarantee this position will be funded past July 2024.
