Job Description
The Payroll Manager will be responsible for the bi-weekly processing of payroll for all Ecentria employees and will report to the Director, HR and Talent Acquisition. The ideal candidate will have hands-on experience processing payroll with Workday and a solid understanding of multi-state payroll laws. This position will work collaboratively with HR and Accounting Team members to foster a positive and engaging employee experience.
Duties & Responsibilities
- Leveraging Workday’s technology, process and reconcile bi-weekly payroll for 500+ Ecentria employees in 5 company codes throughout multiple states.
- Ensure all payroll transactions are processed accurately and timely.
- Maintain detailed and organized payroll records and processing steps.
- Prepare and settle payroll and tax related documents with ADP Smart Compliance. Process wage garnishments and child support orders.
- Work with Accounting to open new income tax/unemployment accounts in local jurisdictions and new states. Assist with audits, resolve tax issues, ad-hoc requests, and map earning and deduction codes to General Ledger.
- Respond to and resolve employee questions regarding payroll in a timely and thoughtful manner.
- Maintain 401k records with new hires, terminations, and other demographic changes. Process 401k deposits at each pay period and ensure compliance with 401k regulations.
- Work with HR to validate data entry and process personnel changes within Workday.
- Audit employee changes to ensure employee records remain up-to-date.
- Respond to outside employment verifications.
- Reconcile, submit, and audit HR invoices.
- Process and provide training on expense reports.
- Recommend and implement process improvements that support efficiency and a positive employee experience.
- Run reports from Workday as requested.
- Ensure compliance with all state and federal regulations for payroll processing (941, W-2, year-end, etc.)
- Support HR Team in other ad hoc duties as assigned.
Qualifications, Skills & Requirements
- 7+ years of multi-state payroll processing experience is required; at least 5 years of experience processing payroll in Workday required
- Bachelor’s degree required
- Advanced Workday knowledge
- Solid understanding of multi-state payroll laws
- Ability to work with all levels within the organization
- Ability to maintain extreme confidentiality
- Proficient in Microsoft Office and Excel
- Exemplary written and verbal communication skills
- Excellent attention to detail and accuracy
- Comfortable working independently and with a team
- Ability to remain flexible in a changing environment
