Position Summary:
Under minimal administrative direction, the Accounting Associate will manage the financial accounting activities within the Department of Medicine. Duties may include, but are not limited to, administration of research budgets and related fiscal planning; data planning; maintenance and analysis; providing assistance in grants proposals and financial reports.

Duties & Responsibilities:
Prepare and process all paperwork related to the finance operations. Assist with the development of new self-supporting and foundation/gift funds accounts. Establish new Banner account strings as necessary. Assist with the year-end close-out procedures and ensure compliance. Responsible for reviewing and processing all journal vouchers for the department of medicine and its 12 divisions/units. Prepares Cash receipt forms and Transmittal forms for cash and checks deposits for off-site clinics, contractual agreements, and gift donations. Processing of Labor-Redistributions as required.
Reconcile monthly financial reports related to the Medical Service Plan (MSP), Indirect Cost Recovery (ICR), Gift/Foundation and Contractual agreements (Self-supporting) for the Department of Medicine; take action to correct any transaction discrepancies in coordination with the Director of Fiscal Affairs and division administrators.
Initiates, develops, and executes pre-award documentation for submission; Reviews documentation for critical errors and corrects according to internal and external submission guidelines. Assist in the development of budgets and budget justifications for grant proposals by forecasting funds to support research expenditures.
Functions as a liaison between administration and our divisions/units to support Accounting, Purchasing, Account Payables, Banner, P-card, T-card, ChromeRiver. Serves as a P- Card and T-Card compliance officer. Responsible for purchases for the Department of Medicine -Administrative Operations, including coordination and management of all purchase orders and payments. Examines and arranges stop payments.
Perform other related duties and participate in special projects as assigned.

 

Qualifications:

1.
A. Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience.
OR
B. Possession of current registration as a Certified Public Accountant (CPA), Certified Management Accountant, or a valid license to practice Public Accounting (LPA).
OR
C. Master's degree in Accountancy or a related field.
