Duties and Responsibilities
The focus of the role is to support the cancer-focused research and education mission, goals, activities and initiatives, in the Cardinal Bernardin Cancer Center and the Department of Cancer Biology. The position is based at the Health Science Campus, and will provide support for the administrative and financial management of the Department of Cancer Biology and Cancer Center Administration. Approximately 50% effort will be devoted to each unit. Responsibilities include:
Administrative Coordination
Assist with purchase and inventory of office, laboratory, clinical, and electronic needs including consumable supplies, small and large equipment, and computing software and hardware.
Training grant administration - assists with required trainee appointment forms, data tracking, follow-up with past trainees to collect data for federal grant reporting requirements.
Manage CBCC translational research seed grant program (grant review process, award notifications and decision letters, collect progress reports, track accomplishments and outcomes.)
Support for Cancer Center Grand Rounds, Cancer Biology Seminars, faculty lecture series, and other lectures. Organize regularly occurring meetings. Assists with planning and execution of research symposiums, poster sessions, and other special events.
Performs other duties as required.
Financial Coordination
Prepares and tracks department payment requisitions, travel expense reimbursements, purchase requisitions, capital equipment purchases, etc. Monitors and verifies that expenditures post to accounts in a timely manner. Oversight for office supplies and departmental research supplies.
Procard management - process and review expenditures, collect and submit receipts, monthly reconciliation for assigned procards.
Financial coordination for training grants, CBCC translational research seed grants, and other programs. This includes making purchases, tracking expenditures, monitoring budgets, reconciling adjustments, etc.
Under the direction of the Administrator, monthly review of account financial reports, reconciling payroll adjustments, expense transfers. Monitoring budget and spend rates. Prepares adhoc financial reports as required.
Provides support for the financial manager of the Cancer Clinical Trials Office. Prepares and tracks invoices and expenditures. Prepares new account set-up packages.
Other duties as assigned.
Minimum Education and/or Work Experience
Bachelors Degree OR equivalent training acquired via work experience or education. A minimum of 3 - 5 years of previous job-related experience.
Qualifications
Education requirements: Bachelor's degree from an accredited degree program. Combination of education and work experience in lieu of 4-year degree may be considered.
Required skills/experience: Excellent communication and strong interpersonal skills, must be detail-oriented with an ability to multi-task and track progress on many tasks simultaneously. At least 1-2 years' experience in administration, program coordination, and budgeting/financial tracking.
Strongly Preferred: Experience in an academic medical center / higher education / research environment is preferred.
Computer Skills: Must be proficient in the use of common office software (including MS Word, MS Excel, MS PowerPoint, MS Outlook, Adobe Acrobat, an internet browser), and be able to learn quickly how to use specialized university systems, procedures, and forms needed for the job (e.g. purchase requisitions and other applications as needed).

Fluency in Microsoft Office suite is required. Spreadsheet development is required for budget development and data tracking.
