is seeking an experienced administrative professional to support our Unit. This unit is based at our headquarters in Northbrook, Illinois, but includes professionals spread throughout WJE's branch office locations nationwide.
The Administrative Associate will work closely with our fire protection engineering professionals to ensure the highest level of work product quality and productivity while supporting the existing projects and new proposal development needs. The Administrative Associate will also support our fire protection staff's involvement in external professional organizations. As such, WJE Administrative staff are essential and valued team members whose involvement is critical to our continued success.

Responsibilities:
Collaborate with Fire Protection Unit staff across various geographic locations, to prepare, edit, proofread, and assemble incoming and outgoing correspondence and documents adhering to the firm's template standards. Documents will include reports, presentations, spreadsheets, RFPs/RFQs, and marketing support materials
Assist project managers with a working knowledge of specific functions of the Deltek Vision database as needed
Development of proposals and Statements of Qualifications (SOQs) in response to Requests for Proposals (RFPs) and Qualifications (RFQs)
Organize internal meetings, webinars, and conference calls, and coordinate outside activities for staff across various geographic locations.
Assist project managers with project controls (milestones, budget tracking, accounting, billing, etc.)
Apply working knowledge of accounts receivable, accounts payable, purchasing, and office services functions
Assist Fire Protection team with day-to-day administrative tasks including coordination of travel, ordering of office supplies, and shipping needs
Qualifications:
At least five years of related administrative support experience is required; seven plus years of experience is preferred
Bachelor's degree in English, communications, marketing, accounting, or business preferred
Strong proficiency in Microsoft Office Suite as well as willingness and ability to learn other software packages such as digital image software and other databases such as Deltek Vision
Excellent editing and proofreading abilities with strong verbal and written communication skills
Willingness to learn and creatively solve problems while employing strong listening skills
Self-starter with high attention to detail and demonstrated capacity to handle multiple needs, organize workload, prioritize tasks, and adapt to change while presenting a professional demeanor and a high-energy client focus
Physical Requirements:
The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. This position requires visual acuity and listening ability along with the ability to read and write. Individuals must have the dexterity to be able to operate office equipment such as a computer, printer, fax, copier, telephone, voice mail system, and other office equipment. The position requires the ability to remain for extended periods at a workstation, as well as the ability to lift 25 pounds.
Annual starting base salary (gross): $43,900 - $68,200. Actual salaries will vary and will be based on several factors including consideration for a candidate's qualifications, skills, competencies, and proficiency for the role. Base salary is one component of our total compensation package for employees.
