Job Description

This position helps ensure that the office runs smoothly and efficiently. Clerical and administrative support assist the probation and court services staff to optimize workflow and case management procedures. This position is the primary point of contact for all manners of inquiries and requests. Other secretarial responsibilities will include organizing and maintaining files, supplies, and office equipment.

Complete forms in accordance with department procedures
Operate office equipment such as copiers, and phone systems, and use computers for spreadsheets, word processing, database management, and other applications
Organizing and storing paperwork, documents and computer-based information. Enter new cases and maintain existing cases in our Tracker Case Management System
Type, format and align all court ordered investigations. Provide investigation to division supervisor for review. Maintaining monthly statistical data for both Adult and Juvenile Divisions
Type and format weekly juvenile court call and distribute to staff
Learn to operate new office technologies as they are developed and implemented
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
Greet and handle all individuals reporting in person to the Probation and Court Services Department, handle their inquiries, and direct them to appropriate persons according to their needs.
Open, route and distribute incoming mail and other material, collect and arrange for pickup of outgoing mail on a daily basis.

Performs other related tasks as assigned by the Supervisor/Assistant Director(s) as designated by the Director.
