Join us!This position is located in the Corporate office and is responsible for managing selected vendor relationships/spend, as well as jointly administering the Organization's procurement software (Workday). This position will be in charge of several key vendor relationships, requiring formulary maintenance, problem resolution, and key metric analysis. In addition, this position will work collaboratively with the Strategic Sourcing and Financial team to develop, maintain, and enhance Workday in such a way that supports the Organization's operations, growth and transformation goals. The position will maintain vendor connections, identify and resolve issues related to timely resolution of PO placement and invoice matching; investigate and assess process improvement opportunities, determine requirements, and deliver data-driven recommendations to stakeholders.
Vendor Management: Work directly with assigned vendors to manage formularies, resolve delivery and payment issues, hold periodic business reviews, and analyze key performance indicators to identify and implement cost savings opportunities.
System Administration: Administer the Workday procurement modules, including maintaining and developing vendor catalogs and punch-outs in conjunction with vendors, managing user groups and their security and access settings in conjunction with Workday Financials and HCM Senior Analysts, addressing break-fix issues in partnership with IT and other Workday systems analysts. Measure and monitor status of POs and Invoices to ensure timely close-out of purchasing process. Recommend and implement changes to purchasing process. Implement and maintain system security. Document and publish solutions to commonly reported issues.
End-User Support: As the subject matter expert, answer functional questions on the procurement systems and make recommendations on best practices to configure the system. Provide day to day support to the Purchasing team with report administration and system enhancements within Workday. Update Organization Workday training standards and materials and deliver periodic trainings for new hires to communicate and train these standards.
Reporting and Process Improvement: Identify and establish reporting needs and opportunities. Analyze and report data trends, and share that information with stakeholders. Write and configure Workday Procurement reports and dashboards including key metric reporting. Analyze and outline potential challenges, opportunities for improvement, and increased efficiencies.
System Release Management: Monitor deployment of scheduled releases by Workday; Test impacts in Sandbox Tenant. Evaluate the rollout of new service capabilities and features as it relates to the procurement modules, recommending any needed process changes. Facilitate documentation and end user training of new features.
EDUCATION AND WORK EXPERIENCE:
Required Degree: Bachelors degree in Procurement, Finance, Info Systems or related degree.
Certificate(s):
Workday Pro Certification in Reporting, Procurement, or relevant functional area (preferred but not required)
Experience:
At least 4 years of related experience in Procurement and/or Finance
Experience with a combination of Workday's Procurement modules as a super user or system administrator
Experience with developing and maintaining punch-outs and catalogs in Workday
Experience with developing and writing Workday reports
Experience with managing purchasing formularies, evaluating vendor contracts, and driving purchasing cost reductions
Experience in Health Care, Senior Living or related field
KNOWLEDGE, SKILLS AND ABILITY:
Strong attention to detail and proven track record of producing consistently accurate work, while possessing the ability to step back and determine whether outcomes are reasonable.
Good communication skills (both written and oral, English skills required)
