Summary: This position is responsible for providing Executive Associate-level support to the Director of the Division of Member Services, the Associate Director of the Division of Member Services, the Member Services Liaison Committee, and the Convocation at the Clinical Congress. This position provides high-level customer service to the College staff, members, and leaders, and serves as the staff liaison for special projects on behalf of the Director. This exempt position will report to the Director, Division of Member Services in the Division of Member Services. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote. Responsibilities: Provides administrative management support to the Director - manages the calendar and schedule, coordinates and books domestic and international travel, processes visa applications, creates detailed travel itineraries, and addresses meeting invitations. Creates or drafts correspondence on the Director's behalf, provides phone and email coverage, processes annual membership dues and renews medical licenses. Provides support for staff meetings and other internal meetings planned by the Director/Associate Director. Manages sensitive information on behalf of the Director and maintains a high-level of confidentiality. Manages and coordinates the Director's speaking engagements, including updating the Director's bio and CV as needed, editing presentations, and submitting requested CME forms. Manages three annual meetings of the Board-level Member Services Liaison Committee. Provides orientation for new members, prepares agenda and meeting materials, attends meetings, records and transcribes minutes, and provides follow-up on tasks and initiatives of the committee. Manages the committee roster on the College website. Provide customer service support to College staff, members, and leaders. Manages communications related to member inquiries and updates/changes member information in membership database. Responds to complaints and addresses misuse of the FACS designation. Other duties as assigned. Required Education and/or Experience: Bachelor's degree or higher from an accredited college or university is strongly preferred. At least 4-7+ years of similar or related administrative support experience is required; experience in associations, professional services, and/or healthcare is a plus. Must be able to maintain confidentiality, operate with professionalism, and demonstrate strong time management skills. Excellent communication skills (verbal, written), and strong organizational skills are required. Ability to provide exceptional customer service and interact effectively with College leadership, senior program leaders, committees, members, colleagues, and representatives from other organizations. Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint), video conferencing. Familiarity with Chrome River, Board Effect, Tripit, and/or Concur is a plus.
