We are seeking an experienced and proactive Executive Assistant to provide high-level administrative support to our C-level executives for our Fortune 500 technology client. The Executive Assistant will play a critical role in managing schedules, coordinating domestic and international travel arrangements, organizing meetings, and ensuring seamless communication within and outside the organization. This is a hybrid role, offering a blend of remote and in-office work.

Responsibilities:

+ Manage complex calendars for C-Level executives, including scheduling meetings, appointments, and travel arrangements.

+ Coordinate domestic and international travel logistics, including flights, accommodations, transportation, and visa processing.

+ Organize and prioritize incoming requests and emails, ensuring timely responses and follow-up.

+ Prepare and distribute meeting agendas, materials, and presentations.

+ Schedule and coordinate internal and external meetings, conferences, and events, including ordering refreshments and arranging audiovisual equipment as needed.

+ Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality at all times.

+ Assist with special projects and initiatives as assigned by executives.

+ Handle expense reports, invoices, and other administrative tasks as required.

+ Provide backup support to other members of the administrative team as needed.

Requirements

Requirements:

+ Previous experience (3+ years) supporting C-Level executives in a fast-paced environment.

+ Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines effectively.

+ Proficiency in calendar management, scheduling, and travel coordination.

+ Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.

+ Proven ability to handle sensitive information with discretion and confidentiality.

+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

+ Flexibility to adapt to changing priorities and work independently with minimal supervision.

+ Bachelor’s degree or equivalent work experience preferred.
