We are seeking an administrative assistant to join our team and support by creating, managing, and maintaining meetings and calendar. As an administrative assistant, you will be responsible for coordinating meetings, responding to requests, resolving scheduling conflicts, and providing exceptional customer service to our managers and clients.

Title: Administrative Assistant II

Location: 100% remote

Shift: M-F 8-5 PT

Duration: Long term open ended contract w2 in 3 year durations

responsibilities:

Oraganized, Proactive, Communication, Prioritization, Multitasking, Time-management, Attention-to-detail, Problem-solving, Business Ettiquete, Adaptability, Reliability, Confidentiality, Technology-literacy.

Job Duties — Support between 5-8 senior managers

- Create, manage, and maintain meetings/calendar to include:

1:1’s, Team Meetings,External Vendor or Firm meetings Annual meetings, Daily Standups, Lunch meetings, Milestone/anniversary meetings, Interviews, and Project meetings

- Respond to meeting requests

- Sending/Responding to meeting polls

- Coordinate Reserving rooms, on-site food and beverages or other in person requests.

- Handle and resolve scheduling conflicts with meeting participants offering proactive recomendations

- Processing external visitor requests

- Coordinate visitor arrivals

- Processing exspense and travel related activities

- Maintain exceptional interpersonal, written, and verbal communication with managers and client admin

- Conduct all business in a professional and ethical manner

- Any other additional ad-hoc scheduling, expese or traveling support as needed and when required

Job Requirements -Must have reliable internet connection

Desired Skills & Experience — strong customer service skills and ability to interact with all levels of management and staff.

- strong organizational skills and attention to detail

- Experience with Outlook 365 and calendar management

- Experience with Concur or similar expense management software

- Knowledge of travel booking and itinerary management

- Excellent verbal and written communication skills

- Ability to multitask and prioritize effectively

- strong time management skills

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

- Experience in a corporate environment supporting senior level managers

- strong work ethic and ability to maintain confidentiality

- Ability to work independently and as part of a team

- strong customer service skills and ability to interact with all levels of management and staff.
