Description:

Position Summary
This position is responsible for the coordination of submission and approval of all masters' theses and doctoral dissertations to the Graduate College, and the subsequent release to the UIC Library and ProQuest, Inc. Also responsible for approval of student Preliminary Exam and Defense Committees, and Graduate College faculty membership. The Thesis/Dissertation Specialist interacts frequently with the two Associate Deans for Academics, and the Dean, in addition to other staff in the College related to Graduate Faculty designations and student graduation information. In addition, the Thesis/Dissertation Specialist interacts with graduate students, program support staff, faculty student mentors, Directors of Graduate Studies, and Department Heads/Chairs, on a variety of issues.

Duties & Responsibilities

Responsible for the coordination and approval of format of student thesis and dissertations submitted to the Graduate College as part of their graduation requirements; Responsible for providing advice to department faculty and staff on all issues pertaining to thesis/dissertation procedures, format, and submission; Conduct regular workshops for graduate students on the Preliminary exam, thesis defense, and submission processes.
Responsible for maintaining the College portion of the Electronic Thesis and Dissertation (ETD) software; Liaison with UIC Library related to ETDs, the online interface, issues related to embargoing theses, release of theses and dissertations to ProQuest, Inc., and open-access publication; Liaison with ProQuest, Inc. related to the submission of student abstracts, Master's thesis and PhD dissertations, related forms/payments, and reporting; Responsible for final clearance of theses/dissertations for students' graduation requirements each term; input successful defense date and thesis/dissertation title into Graduate College Access database.
Responsible for updating the Thesis Manual online, as appropriate, as well as related Graduate College website; Responsible for processing related documents and reports to external units and the UIC library.
Student Committees
Responsible for coordination of the review and approval of proposed student faculty committees (Preliminary Exams, Field Exams, master, and doctoral thesis defenses), and related/subsequent correspondence.
Send notification of admission to doctoral candidacy after a successful Preliminary Exam, to student and student's program.
Maintain internal database of all committee rosters and student results, and input result into Banner.
Graduate Faculty Membership
Advise faculty and staff on graduate faculty membership.
Process nomination forms for faculty membership on an ad hoc basis; request audit/updates from Department Heads/Chairs annually.
Update internal database of Graduate College Faculty and coordinate updates with other listings of data both internally and externally.
