Description

Under the direction of the Business Manager, this position will perform entry-level professional
accounting principles and practices that assist in the maintenance of accounts and accounting records
for the Department of Psychiatry. In addition, this position will provide financial management support
to the Department of Neurology. This position will also offer support for general office functions.
 Examples of Duties
Inputs and audits all invoice vouchers and internal billings for compliance with University and
contract guidelines and fund availability.
* Assists in the maintenance of fiscal filing system for all account transactions, financial reports,
correspondence, budget materials, and manual of university policies and procedures related to
the fiscal area
* Communicates at the direction of the Business Manager or Department Administrator with
outside entities interested in contracting with SIU School of Medicine.
* Submits contract or purchasing request forms, edits contract drafts, and forwards for signatures
prior to execution.
* Prepare department purchase requisitions and blanket orders to encumber funds from which to pay for
services, equipment and supplies. Ensure quotes and proper documentation are attached. Follow up on
the receipt of orders or services. Ensure that all paperwork conforms to university policies and
procedures.
* Maintains and monitors contractual billing and payment recording.
* Processes staff and faculty payroll for Psychiatry. Maintains database for reconciling benefit time balances
for staff and faculty.
* Review department's travel expense reports and vouchers. Assist staff with process and completion of the
authorization for travel and reimbursement forms.
* Assists with fixed assets inventory annually.
* Participates in the Department "Psych Facilities" group; aiding as needed regarding requests related to on
site issues.
* Performs other related duties as assigned.
* Collects, enters, compiles and organizes information for recurring reports.
* Assists with completing surplus for department furnishings.
 Qualifications

1. High school diploma or equivalent.
2. Any one, or any combination that totals 1 year (12 months) from the following:
a. college course work in accounting (6 semester hours = 1 year); or
b. college course work in any curriculum (30 semester hours = 1 year)
c. work experience which could include bookkeeping, office support, or closely related experience.
