Job Summary
Serves as administrative support for the Assistant Dean for Student Affairs, as well as provide support for student affairs activities.

Duties & Responsibilities

Administrative support: Assistant Dean for Student Affairs (50%):
  • Provide daily administrative support to the Assistant Dean for Student Affairs (ADSA), including but not limited to calendar management, meeting scheduling and associated materials, and travel arrangements and reimbursements. Keep the ADSA apprised of upcoming meetings, deadlines, and tasks as needed.
  • Monitor and forward e-mail messages using own judgment for the various student affairs inboxes. Reply to e-mail messages as appropriate.
  • Assist the ADSA with coordination and implementation of the master's student scholarship/fellowship and travel award processes in accordance with University policy and procedures. Follow-up with applicants and communicate with relevant iSchool (e.g. business, advancement) and campus (e.g. Graduate College) offices as appropriate.
  • Assist the ADSA with special projects and tasks as requested.
Student Affairs support (45%):
  • Provide support to student affairs staff activities, including but not limited to scheduling and travel arrangements and reimbursements.
  • Serve as primary event coordinator for all student affairs hosted events (e.g. orientation, workshops). Arrange venue/location, coordinate logistics, and make all event-related purchases (e.g. food, supplies). Serve as the iSchool Convocation Coordinator and coordinate all logistics, planning, and communication for the ceremony.
  • Assist advisors with student appointments and/or questions by accessing student records in Banner to check restrictions, etc.
  • Oversee the iSchool academic support center in conjunction with iSchool academic affairs.
  • Participate in student affairs meetings as requested and take notes as needed.
Other (5%):
  • Serve as backup to 614 (other iSchool Location) receptionist as needed, including greeting guests and answering the phone.
  • Perform other related duties as requested and needed.
Minimum Qualifications

1. High school diploma or equivalent.

2. Two (2) years (24 months) of work experience comparable to the third level of this series.

Preferred Qualifications
  • Previous event coordination experience is also preferred.
  • Knowledge of University policies, procedures and systems is preferred.
Knowledge, Skills and Abilities
  • Strong customer service, organizational and communication skills.
  • The ability to thrive in a team environment and actively contribute to the team's success is a must.
  • The ability to manage priorities successfully is also required. Ability to meet deadlines.
  • The ideal candidate will be student centered and service oriented.
Appointment Information

This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/6/2024. Salary is commensurate with experience.

We are unable to sponsor an employment VISA or take over sponsorship for an employment VISA for this position now and in the future. Candidates must be authorized to work in the United States with no VISA sponsorship.
