Job Description

You can join a team of hundreds working in dozens of locations around the world and help us continue to succeed and grow. In this Office Administrator position, you will be the public face of LRS Consulting Services in our Springfield, IL Consulting Services office.

You will be primarily responsible for handling a wide range of office management responsibilities for the Consulting Services office, a branch in the staffing division of LRS. Much of your day will be spent managing and inputting vital client and consultant data in our Dynamics CRM, Tracker ATS, and ERP systems. Duties include invoicing, timekeeping, operational support to the local site as well as administrative duties supporting the Account Executives and Sales Team. Additional responsibilities will include creating, maintaining, and filing documents such as contracts and correspondence using such software programs as Microsoft Word, Excel, and Outlook.

This is a full-time, hybrid (remote on Mondays and Fridays) position that is eligible for overtime compensation. You will be based in the Springfield, IL office. Benefits include Health, dental, vision, and life insurance, a 401k retirement plan, and paid time off.

Performance Objectives for this position:

+ During your first month, learn the necessary software programs and accurately perform data entry operations, including becoming familiar with the ERP and Dynamics CRM system and formatting of resumes in the LRS style.

+ Accurately file various documents so they can be retrieved quickly when requested; track and maintain contract files.

+ Work with customers to properly submit and track invoices; Ensure that all receivables are kept to a minimum and paid within 60-90 days.

+ Work collaboratively with members of the group when asked to assist with projects (for example: collaborating with our team to build proposals).

+ Assist with onboarding newly placed consultants.

+ Accurately entering consultant time into our timekeeping system.

+ Accurately formatting consultant resumes for client submittals.

Applicant Requirements:

A candidate must have a minimum of 5 years recent (within the past 7 years) experience in an office environment with the following:

+ Microsoft Office Suite (Word, Excel, Teams), with at least 2 years in MS Office 2010.

+ Assisted Management with day-to-day administrative operational issues.

+ You must be able to provide two examples (from an office environment) of detail-oriented projects where you have had to prioritize and multi-task.

+ Effective communication and phone skills are expected.

+ Experience with customer invoicing will make you a stronger candidate.

+ Experience with CRM and ERP tools will make you a stronger candidate.

+ You must have permanent authorization to work in the USA for any employer. No visa sponsorships are available.
