Job Description

Position Summary

The Contract Administrator is responsible for ensuring that contracts, change orders, purchase orders and insurance coverage for all Property Management Ordinary Capital and Tenant Coordination projects are in compliance with company policies and procedures. The Contract Administrator will also provide direction and guidance to the field & vendors regarding the Ordinary Capital and Tenant Coordination Project Management application (PMWeb) where contracts & invoices are submitted and approved.

Responsibilities

+ Coordinate the administration, follow-up, and tracking of all contracts, change orders, purchase orders and insurance coverage submitted by the Property Management and Tenant Coordination teams

+ Provide direction to the mall teams, National Operations Directors and Tenant Coordinators with regards to all current versions of contract forms and policies

+ Collaborate with vendors to ensure all required contract forms & documents are provided and completed properly so that invoicing is smooth

+ Support the mall teams and Tenant Coordination team with the tracking of commitment documents from creation through final approval

+ Participate in any User Acceptance Testing related to enhancements to the Ordinary Capital and Tenant Coordination Project Management application (PMWeb)

+ Ability to understand the Ordinary Capital process from beginning to end (projects, budgets, CapEx Requests, bid process, contract/change orders, invoicing, cash spend)

+ Ability to understand the Tenant Coordination process from beginning to end (projects, budgets, leases, contract/change orders, invoicing, cash spend)

+ Assist with monitoring the PMWeb Ordinary Capital and PMWeb Tenant Coordination central support email boxes

+ Provide guidance & troubleshooting support to system users, both internal and external

+ Perform other duties and special projects as assigned

Qualifications

+ High School diploma or GED required

+ College Degree preferred

+ Minimum of 3 years of related experience

+ Ability to manage projects independently

+ Ability to communicate with all levels within the organization

+ Ability to work and learn independently and in a team situation

+ Strong organizational and time management skills

+ Ability to deal with multiple tasks effectively and establish priorities

+ Strong attention to detail

+ Excellent PC, Excel, MSWord

+ Able to quickly learn and be proficient with additional software packages
