+ Provides support to the C-Suite and Board Chair and Board Committee Chairs

+ Provides the Board and its committees with notice of meeting times and places and request contributions of items for the agenda

+ Assists the CEO, assigned staff committee liaisons and the Board Chair as needed and responds to questions and requests from Board members

+ Undertakes special projects and assignments as requested by the CEO or Board Chair and/or Committees

+ Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf

+ Manages calendar and meeting coordination including booking rooms and arranging dining services

+ Manage c-suite expense reports and prepare weekly, monthly, or quarterly reports

+ Assists in the approval of paid time for executives in the Administration Department

+ Initiates purchase orders, check requests and requisitions for office supplies as needed for the administrative area. Process invoices including routing and coding per chart of accounts

+ Prepares agendas for Board and committee meetings and distributes agenda and supporting material to Board members and Presbyterian Homes leadership in advance of the meetings through the Board portal

+ Prepares minutes for Board and committee meetings and distributes them to leadership for review and comment. Then posts them to the Board portal

+ Oversees that Board and committees are functioning within the organization’s bylaws and charters as to their duties and responsibilities. Alerts the CEO and Governance Chair to the potential need for amendments

+ Maintains historic files of the Articles of Incorporation and Bylaws, including all amendments; Board approved resolutions; and historic and contemporary comprehensive files on the Board of Directors

+ Maintains a current directory of Board members

Skills/Qualifications

+ College degree in Business or equivalent experience

+ Minimum of 5 years of experience

+ Experience in handling strategic, confidential and dynamic information to various constituencies and leadership groups.

+ Must have excellent verbal and written communication skills as well as the ability to work closely with others to deliver exceptional customer service with internal and external customers.

+ Strong computer skills with expertise in Word, PowerPoint, Outlook and Board Effect

+ Good planning and project management skills
