Job Summary

This position is an administrative support for two global department teams and one enterprise cohort of senior leaders. This position works in conjunction with the leadership teams to identify and complete the administrative aspects of managing a global department and enterprise team of senior leaders.

What You Will Do:

+ Facilitate and coordinate department administrative tasks as needed by the business.

+ Proactively manage senior leader calendars and communications by scheduling meetings and maintaining calendars.

+ Coordinate staff meeting agendas, logistics, locations, and other leadership meetings.

+ Create visually engaging and informative PowerPoint presentations for various business purposes.

+ Assist in preparing materials and documents for presentations and meetings, ensuring accuracy and professionalism.Prepare expense books and reconcile manager’s expense statement.Transportation & travel: ensure travel and lodging accommodations as required by the manager by arranging customer/dealer/consultant visits. Responsible for travel and lodging accommodations, arranging plant tours, product demonstrations, meals, etc. Coordinates visits of corporate customers to Peoria as well.

+ Serve as the office coordinator for the Illinois-based facilities.Coordinate large conferences, special events involving customers, community leaders or business associates and employee and company events.

+ Generate, propose, and lead employee engagement ideas and activities.

+ Perform additional duties as assigned, demonstrating a willingness to stay updated on the latest administrative methods and technology.

Education Requirement:

Bachelor’s/4-year degree required OR equivalent experience (5+ years)

What You Will Have:

+ 5 years of on-the-job experience: Candidates for this position must have a variety of administrative experiences gained at sectional, divisional and departmental levels. The position requires the application of seasoned, advanced administrative skills gained through years of experience and challenge in the more advanced and complex features of the activities of an office or work area.

+ Accuracy and Attention to Details: This role requires meticulous attention to detail to ensure schedules, presentations, and documents are error-free and professional. The individual must be able to think and work independently, have superior organizational skills, and maintain a high-level of confidentiality as they will be working with highly sensitive and confidential information. Will be responsible for organizing and expediting workflow through the supervisor’s office.

+ Managing Multiple Priorities: The ability to prioritize tasks and manage multiple responsibilities efficiently is essential in coordinating schedules, events, and travel arrangements for multiple executives. Incumbents must be able to organize, complete and maintain large projects such as a database for a process improvement. This might also include the direction and coordination of the activities of others such as temporary clerical help, co-ops, other administrative professionals, etc.

+ Office Administration/Technological capability: Strong office administration skills are necessary for effectively organizing meetings, maintaining calendars, and managing confidential documents. Operates a personal computer for purpose of typing, scheduling meetings, calendaring of events and activities, sending and receiving messages, and uploading and downloading information utilizing various software programs. Proficiency in Microsoft office 360 suite and applications, particularly in Outlook, Teams, and PowerPoint.

+ Flexibility & Adaptability: Candidate must be able to adapt to changing priorities, schedules, and requirements in a fast-paced corporate environment. The incumbent should have general knowledge of company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned area.

+ Effective Communication: Clear and concise communication skills are essential for coordinating with executives, colleagues, and external stakeholders. Ability to handle sensitive information with discretion. Uses discretion, judgment, and initiative to continue the work responsibilities of the office in an efficient manner when the manager is unavailable. The incumbent must determine what can be handled immediately by direct reports, referred to others, held for manager’s return or completed by the administrative assistant independently.

Additional Information

The location for this position is Peoria, IL.

Relocation assistance is not available for this position. Any relocation costs incurred would be the responsibility of the selected candidate.

This position will require less than 10% travel.
