Overview
The Holmes Student Center provides the campus community with a gathering place that enhances student life, cultivates unity and promotes development through a variety of cultural, educational, social and recreational programs. The Accounting Officer is part of the Business Operations team at the Holmes Student Center. The Business Office supports the student center operations including the Hotel at Holmes, Huskie Den, Conference Center, Audio/Visual as well as Campus Dining Retail Operations.
Position Summary
Under the direction and supervision of the Business Administrative Associate, the Accounting Officer works as part of a team in the Holmes Student Center Business Office in the review and preparation of daily cash and charge reconciliations. Prepares and submits daily accounts receivable invoices, internal and external. Provides back-up as needed for the handling and processing of all cash operations in the HSC. Assists with supervision of work-related duties to student staff.
Essential Duties and Responsibilities
Cash Handling
Assists Vault Custodian with managing HSC Cash Handling and Credit Transactions.
Monitors all daily cashiering functions including opening and closing procedures maintaining separation of duties to protect University assets, i.e. collection, distribution, and daily balance of cash bags for numerous retail locations.
Reviews and monitors various transaction reports, daily cash reconciliations, accounts payable reports, and cash sign in/out logs.
Assist with physically taking Daily Deposit to Bursars and process Credit Card transactions.


Reporting
Prepares statements and reports that require utilization of a variety of sources.
Prepares accrual entries at month end, required for the compilations of Holmes Student Center financial statements.
Posts financial information to journals, registers, ledgers, and other related records.
Codes documents that require knowledge in determining proper classification of revenue and expenditure codes.

Reconciliation
Reviews daily cash reconciliations and monitors daily charge sheets for accurate documentation of contract billing and payment record.
Prepares and reconciles complex accounting reports.
Examines a variety of accounting documents to verify conformance to accounting policies, principles, and practices.
Corrects transaction documents, which may require revision of other documents or entries including the original.
Prepares daily internal and external billings that require extensive attention to detail.

Human Resources
Serves as a backup to HSC Administrative Aide in processing payroll and human resources. These duties include but are not limited to: position posting and search processes, hiring, termination, and contract paperwork for function areas in the Holmes Student Center including professional staff members, Graduate Assistants, student employees, and extra help.
Manages payroll and benefit usage process for staff, maintains accurate payroll and human resource records for Holmes Student Center.

Supervision
Assists in supervising student staff as needed.
Other duties as assigned.
Minimum Required Qualifications (Civil Service)
1. High school diploma or equivalent.

2. Any one of the following combinations of education and/or work experience totaling two (2) years (24 months):
A. 9 semester hours of college coursework in accounting

B. 30 semester hours of college coursework in any discipline AND one (1) year (12 months) of work experience in bookkeeping, office support, or closely related experience.
