Learning Operations Coordinator (f/m/x)

Location: Warsaw/ Chicago

Hybrid working

Learning Operations Coordinator role is crucial in ensuring the highest quality of logistical and operational support for the deployment of all relevant Mars U programs across the globe (MyP&O and non MyP&O Countries and several Mars Acquisitions supporting a specific College).

In this role, you will impact a range of customer, operational, project, and service activities within and outside of your global team, explain complex information to others, work within established procedures and create new ones, with a moderate degree of supervision.

What will be your key responsibilities?

  • Execution of all administrative tasks required for the highest quality deployment and delivery of global and regional Mars U activities.
  • Realization the operation processes to deliver the Leadership Colleges Demand Planning initiatives in the globe, upload necessary information on new programs in WorkDay, check the WorkDay data for accuracy, secure moderators time, pre-book necessary logistics, etc.
  • Implementation of Ops Manual steps with respect of aligned actions and deadlines.
  • Liaison with program internal and external facilitators, moderators and guest speakers to match the program schedule, manage the situations where back up is needed in cooperation with program managers and college representatives.
  • Organize all necessary logistics for learning programs \ projects \ programs delivery including F2F Logistics & Technology set up.: book the venue \ room, order conference package, setting up the necessary technology, pre-booking the accommodation where needed.
  • Ensure materials and equipment are ordered, stored, printed and shipped on time and to required standards.
  • Partner with Mars U team, outside logistics \ technology vendors, internal facilitators, external facilitators, as well as participants in regard to program requirements, logistics, training materials, for successful course execution.Resolve issues in a professional manner as they arise, so all deadlines are met.
  • Support learners through learning programs: send out invitations, support SDL and course preparation communications for training programs, ensuring all participants are clear on expectations and requirements for attendance, help associates with questions on program and logistics, respond to inquiries, and provide ongoing support to the learning program delivery.
  • Resolve conflict situations in relations to program offering delivery, budget, cancellation fees, etc.



What are we looking for?

  • University degree or equivalent, preferably in HR or related.
  • Previous business experience experience in a professional environment.
  • Extraordinary planning skills, pro-activity, action and results orientation, attention to detail, as well as ability to deal with ambiguity and complexity.
  • Ability to identifies the problem and all relevant issues in various situations, assesses each using standard and nontraditional procedures and makes quality decisions based on factual information.
  • Great analytical and reporting/ dashboards related skills.
  • Fluent English.
