Job Description

This position provides high level coordination as it relates to the onboarding, maintaining and exiting of all trainees/students in the respective educational program affiliated with the Department of Pediatrics Residency Program. The Senior Program Coordinator for the Residency Program ensures compliance with all training requirements of the ACGME. The position works closely with Department of Pediatrics, Office of Medical Education Leadership to provide comprehensive support to academic trainings that are focused on Pediatrics Residents. The Pediatric Residency Program is one of the largest in the region and requires a high-level coordination and support to continue its success.

Essential Job Functions:
Collaborates with Department Leadership to manage the Pediatric Residency Program. Lead recruitment efforts for over 1,000 applicants by managing the application process for all residency applicants and trainees as well as serves as the main contact for all residency applicants.
Works independently with limited oversight by Program Leadership for a large training program.
Responsible for the coordination of Maintenance of Stipend B form for returning resident(s), Resident(s) annual education activities in the New Innovations environment, monitor Resident(s) attendance for protected didactic time, ensures annual visa paperwork is submitted (when applicable), administrative support for Resident (s) needs, maintain all training records for current and previous fellows.
Overseeing and maintaining all residents' licensure, onboarding, credentialing, maintenance or privileges including overseeing the completion of Workday assignments.
Lead resident graduation planning and activities including processing graduating fellow sign-out, communication of graduation activities, and provides checklist of items needed for application of appropriate clinical board examinations, when applicable.
Plans and coordinates the onboarding all new residents. Main point of contact for matched candidate and communication of onboarding paperwork.
Plans and oversees the Residency Annual Retreats in partnership with Program Leadership. This includes the execution of the off-site retreat for the PL2 residents.
Serves as the key point person for resident conference attendance, reimbursement, and professional development spending.
Monitors budgets associated with resident professional development, in partnership with Program leadership.
In partnership with Chief Residents and Program Leadership, will build resident block schedules, including implementing necessary changes and adjustments as needed based on ACGME changes, complement changes, research pathway participation, combined program, etc.
Managing block schedule swaps as needed to manage individual resident parental, medical leaves.
In partnership with Program Leadership, leads operational projects and quality improvement activities for the Residency Program.
Completes the annual surveys to ACGME and McGaw Medical Center in collaboration with division leadership.
Collaboration with the Lurie Children's Medical Education Department to assure appropriate reporting metrics for the assigned area.
Assists the educational program to follow the policies and procedures as outlined by the respective governing body (i.e. ACGME).
Organizes and attends the Division's clinical competency committee, program evaluation committee and annual program review.
Maintains area-specific content for Divisional website (Lurie and NU) and works with appropriate departments to update content routinely. Collaborates with Marketing to create and distribute marketing/promotional materials.
Manage the Divisional Trainee On-Line on Call Schedule, if applicable.
Other duties as assigned.

Knowledge, Skills and Abilities:
Bachelor's Degree Required; four years of related administrative experience required. A combination of education and experience will be considered in lieu of either area.
Excellent leadership, organizational and analytical skills, ability to work with teams, strong written/verbal communication.
Strong planning and coordination skills.
Ability to work independently and exercise good and professional judgment.
Knowledge of medical terminology and medical education programs, preferred.
Experience in an Academic Medical Center, preferred.
