The School of Molecular and Cellular Biology (MCB) seeks qualified candidates for the full-time position of Office Support Associate. The School of MCB acts as the service unit for five departments, providing common services such as student advising, research service facilities, business office services, information technology (IT), human resources (HR), and the Chemical Storeroom.

Job Summary
With guidance from the Associate and Assistant Directors for Curriculum and Instruction, this position will provide administrative support for all aspects of the School of Molecular & Cellular Biology's (MCB) curriculum and instructional processes.

Duties & Responsibilities

Student & Course Support
• Schedule student academic accommodations for the School of Molecular & Cellular Biology (SMCB) courses.
• Schedule exam conflicts and process absences.
• Develop online forms as directed.
• Prepare and communicate details regarding textbook ordering, registration, etc.
• Request ICES evaluations for all MCB courses each semester.
• Maintain inventories for classroom technology and instructional resources.
• Support lock programming for courses, exams, and events by collecting the necessary information each semester for the groups of individuals that should have access to set spaces. This information is then given to the correct individual to make the system updates each semester.
• Data entry for course scheduling in Banner.
• Manage course authorizations and waitlists.
• Support the grade reporting process by running daily reports each semester during the grade reporting
period and sending out reminders to the instructors regarding which grades they must submit.
• Assist with classroom space assignments.
• Make exam room reservations.
• Other duties as assigned to further the mission of the school.

Instructional Program Support
• Answer phone calls and emails, respond to walk-in traffic, and direct individuals to appropriate personnel and resources.
• Place orders for office and instructional supplies.
• Prepare and copy documents for courses.
• Other office duties as assigned to further the mission of the school.

Required Qualifications

High school diploma or equivalent.
Any one or combination totaling eighteen (18) months from the categories below:
A. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
a. 30 semester hours equals one (1) year (12 months)
b. Associate's Degree (60 semester hours) equals eighteen months (18 months)
B. Work experience performing office/clerical activities, including the use of computer systems.

  • Ability to acquire knowledge of University and College requirements, procedures, rules, and regulations.
  • Ability to acquire knowledge of undergraduate records and student management tools.
Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The salary for this position is set by a collective bargaining agreement and the rate for the position is $18.924/hour. Sponsorship for Work authorization is not available for this position.
