Administrative Assistant II

Department of Law

Collections, Ownership, and Administrative Litigation (COAL) Division

Number of Positions: 1

This position is open to the general public and to all current city employees covered under the terms of the City’s collective bargaining agreement with the American Federation of State, County, and Municipal Employees Union – AFSCME (BARGAINING UNITS 1, 3, 4, & 5).

Under general supervision, the class performs administrative, clerical, and secretarial duties for a city manager and performs related duties as required.

ESSENTIAL DUTIES

+ Enters data for more than 10,000 lawsuits annually into the Department of Buildings (DOB) database for health and safety violations of the municipal code.

+ Conducts research and compiles information from publicly available websites for ownership information.

+ Compiles documents and obtains data from various sources to prepare programmatic and administrative reports

+ Proofreads documents and correspondence submitted for supervisor’s review.

+ Answers telephones, responds to inquiries, and directs calls.

+ Organizes and maintains program records and office files.

+ Relays directives and distributes information to staff as directed.

+ Performs various clerical duties to relieve supervisor of administrative and clerical detail.

+ Attends meetings as needed.

Additional duties may be required for this position.

Days: Monday through Friday

Hours: 9:00 AM to 5:00 PM

THIS POSITION IS IN THE CAREER SERVICE

Qualifications:

Two years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

Preference will be given to candidates possessing the following:

- Data entry experience

- Experience conducting research

- Experience preparing reports

- Proficiency using Microsoft Office Suite

SELECTION REQUIREMENTS

This position requires all applicants to pass a written test / skills assessment in order to be interviewed. The interviewed bidder(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be hired based on seniority and according to the C.B.A. rules. The interviewed non-bidders who possess the qualifications best suited to fulfill the responsibilities of the position will be selected.
