Description
The individual in this position provides specialized secretarial support for the Director of Admissions and the Office of Student Affairs.
 Examples of Duties
1. Works with the Director of Admissions in all aspects of the admissions process and in the coordination of sensitive and confidential admissions-related communication and documents. These duties include scheduling admission applicant interviews, and creating admission files, distributing pertinent information from applicant files to interviewers, and handling of all interview-related problems.

2. Responsible for the Maintenance of all Admission applicant files and records.

3. Responsible for Administration of the Supplemental Applications in AMCAS, merging re-applicant files with current admission files, and types Admissions

Committee agendas and minutes. This is a specialized program that candidate must be proficient in or the ability to learn.

4. Coordinates admissions-related mailing of background check policy information, decision letters, and special event invitations.

5. Communicates with applicants by telephone and correspondence regarding the status of their applications and scheduling of interviews.

6. Responds to inquiries for general admissions information by telephone and distributes printed promotional materials.

7. Coordinates travel for the Director of Admissions and makes necessary arrangements for conference registration, hotel accommodations, transportation, etc.

8. Prepares and processes travel reimbursement forms for the Director of Admissions and prepares all invoice vouchers and deposits related to admissions functions.

9. Works with the Front Desk support person for Office of Student Affairs' by serving as a medical school liaison for student, faculty, and all visitors. Answers inquiries and provides assistance on all aspects of the Office of Admissions and Office of Student Affairs.

10. Works with the Registrar on maintaining permanent student records.

11. Supervises and coordinates the catering of Admissions Committee meetings.

12. Assists the Director of Admissions with public relations or recruitment functions as needed.

13. Serves as the head backup applicant tour guide for the Student Ambassadors' group and reports any Student Ambassador absences to the Director of Admissions.

14. Prioritizes incoming mail for admissions and the Admissions Director.

15. Maintains the Director of Admissions calendar.

16. Maintains and updates the Admissions portion of the OSA website.

17. Assists with events: Commencement, White Coat, and other OSA/Student events as
needed.

18. Backup to the Office Support Associate (front desk support personnel) for lunch coverage, phones, etc.

19 Under the supervision of the Director of Admissions who reports to the Associate Dean for Student Affairs and Admissions, who reports to the Dean of SIU School of Medicine, provides secretarial support, when needed, for other staff.

20. Other duties as assigned.

Qualifications

High school diploma or equivalent.
Any one or combination totaling two (2) years (24 months) from the categories below:
College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
Work experience performing office/clerical activities, including the use of computer systems.
One (1) year (12 months) of work experience comparable to the second level of this series.
