Job Description

We are looking for a detail oriented and operationally focused Payroll Specialist to join our rapidly growing North American business and People and Culture team in our Support Office in Chicago, IL. As a Payroll Specialist you will support our Payroll and Benefits Administrator with bi-weekly payroll processing, payroll related payments/ queries, month end processing, onboarding and maintaining the payroll files/ employee personnel files, as well as supporting all efforts tied to reporting. Additionally, you will support with administrating group benefits, serving as the main point of contact for employee questions and assisting our Payroll and Benefits Administrator on back-end benefits administration.

What you'll be doing
    • Process multi-state payroll on multiple pay schedules on an internal payroll system, Paylocity.
    • Manage vacation and sick time accruals in payroll system and ensure all time off request are processed in-line with payroll cycle.
    • Process garnishments, child support orders, and tax levies.
    • Complete all incoming employment verifications and work with Business Partner to gather and submit employee record requests, subpoenas, and other documentation requests.
    • Process new hires, terminations, and employee changes in payroll system and maintain accurate and up to date personnel files
    • Support in health, ancillary, and retirement benefits including enrollments and terminations.
    • Assist with end of year compliance for payroll and W2 compliance.
    • General filing and administrative duties that relate to payroll and benefits management
    • Process required documents through payroll and carriers to ensure accurate record keeping and payroll deductions.
    • Serve as resource to employees by answering benefits related questions; liaise with benefits brokers and carriers to maintain vendor relationships
    • Support with monthly benefits reconciliation ensuring accurate billing/invoicing and benefit coverage
    • Support with timely unemployment claims and COBRA processing.
    • Prepare any payroll and benefits related reports


What we are looking for
    • 2-3 years of proven Payroll experience required
    • High school diploma or equivalent required; BSc/BA in business, accounting or relevant field is a plus
    • Trustworthy with attention to confidentiality
    • Outstanding organizational ability with great attention to detail
    • Excellent communication skills
    • Exquisite math and numerical skills
    • Solid understanding of accounting fundamentals and payroll best practices
    • Knowledge of legislation and regulations of the field
    • Proficient in MS Office and good knowledge of relevant software (e.g. Paylocity) and databases
