Description
STATEMENT OF PURPOSE : Maintains excellent customer relations with patients and referral sources including physicians and referring agencies. Performs optometric technician duties as requested.
RESPONSIBILITY FOR THE WORK OF OTHERS : This position has no direct supervisory responsibility.
TRAVEL REQUIRED: Less than 10%; metro Chicago and suburbs.
PRINCIPAL RESPONSIBILITIES :
+ Greets patients, provides assistance as needed, and delivers efficient, high-quality customer relations at all times;
+ Answers incoming phone calls and patient inquiries, and returns all phone calls by the end of the business day they are received;
+ Maintains excellent business relationships with patients, providers, referral sources, vendors, funders, outside organizations and others by providing excellent customer service;
+ Responsible for verifying patient information at the time of the patient appointment and as transactions are completed; this includes verifying patient demographic information, insurance information and insurance referrals, referral letters, information sheets, and vouchers; accurately updates patient record in EHR, and scans current insurance card and patient identification card in patient EHR record;
+ Responsible for front desk collection of payments for deductibles, co-payments and non-covered services, such as refraction fees and device orders, at point of service and turns over these payments to Accounting department on the same day they are received;
+ Responds to requests for medical information from outside sources in a timely manner, abiding all HIPAA requirements;
+ Dispense prescribed low vision devices and provide patient training in the use of these devices when requested by attending optometric staff or Business Manager;
+ Select ophthalmic frames for patients, take measurements needed to fabricate spectacles and fill out ophthalmic laboratory order forms when requested by attending optometric staff;
+ Assists in ordering of frames, glasses and devices;
+ Assists in preparing dispense schedules;
+ Distributes and mails information on services, eye conditions, and other information of interest to patients and referral sources; sets up and maintains information and brochure area; maintains adequate supply of neatly printed clinic forms;
+ Assists Business Manager in implementing and evaluating individual patient needs in cooperation with other program staff;
+ Assists Business Manager in providing referrals to Lighthouse programs, DHS and other appropriate community services;
+ Maintains lists of service related organizations in local area for patient distribution;
+ Assists Business Manager in coordinating and monitoring outside referrals and interagency referrals and documents outcomes;
+ Able to react to change productively and handle other tasks as assigned;
+ Able to perform routine clerical duties as assigned by Business Manager;
+ Maintains an active interest in the professional field at all levels by attending seminars and conferences to increase knowledge, in addition to representing Lighthouse constituents and priorities on community-based committees, as applicable;
+ Performs other duties as assigned by Supervisor.
Qualifications
SPECIFICATIONS :
+ Associates degree or two years medical or eye care office administrative experience required;
+ Optometric Technician experience or certification preferred;
+ Bilingual English-Spanish preferred;
+ Sufficient computer skills to utilize EHR and patient scheduling program required; proficiency in Microsoft Word and Excel preferred;
