Job Description: Litigation Secretary - Cohn Baughman

The expectations for the position include but are not limited to:

DUTIES:

  • Provide legal secretarial and administrative assistance to attorneys, paralegals, and office administrator in busy major claim litigation insurance defense office.
  • Draft, edit, proof, compare, redline legal documents for attorney and paralegal review.
  • Download litigation documents.
  • Calendar court dates on scheduling orders.
  • Set up deposition/arbitration dates, arrange for court reporters etc.
  • Manage and arrange Outlook calendar dates and Webex meetings for attorneys/paralegals.
  • Enter attorney billable time on all case matters using Sage Timeslips program.
  • Enter all case related expenses into Sage TimeSlips program for invoicing.
  • Track/send weekly attorney time reports to Managing Partner & Office Administrator
  • Manage weekly reminders to attorneys and follow up on missing billable hours.
  • Complete attorney/paralegal edits on monthly prebills to ensure accuracy of monthly invoices.
  • Arrange/book travel for attorneys using Concur Travel system.
  • Submit all attorney expense reports using Concur Expense system.
  • Process/request invoice check requests for outside vendor payments from Imprest account, keep Imprest check register up to date.
  • Process/request vendor invoice payments in Oracle Voucher system, register new vendors and troubleshoot issues with Account Payable team.
  • Assist with opening new case files and accepting case assignments in T360/TyMetrix
  • Assist with tracking and submitting case budgets and approvals in T360/TyMetrix
  • Download and circulate Mealey's Litigation Report Insurance to offices Monitor receipt of same and troubleshoot when LexisNexis does not send issues.
  • Manage attorney CLE hours and professional dues.
