Description
The individual in this position administers and coordinates the financial management, marketing activities and administrative office support functions for the Department of Emergency Medicine.
 Examples of Duties
I. ADMINISTRATION 85%
A. Assist and prepare short-term and long-term budgetary planning and working
documents for the Department Emergency Medicine. Funding sources include, but are not limited to: state appropriations, practice plan/clinical revenues, affiliated hospital and community agency contracts, state and federal government/agency grant awards, private foundation grants and University foundation contributions.
B. Develop and maintain department's financial management system; assemble and prepare data for financial and administrative reports on monthly, quarterly and annual basis. This includes reports for each division, residency program grant accounts, and clinical financial data by division and individual faculty member.
C. Serve as fiscal officer delegate on all Emergency Medicine accounts.
D. Manage the purchasing process, with responsibility for overseeing requisitioning, bidding and PO management.
F. Assist in identification of funding alternatives for existing, new and expanded programs.
E. Serve as primary liaison between the School's departments/units, such as Purchasing, Grants and Contracts, Office of Management and Budget, Office of the Comptroller, and the Foundation, as it relates to budgetary issues.
F. Assists the Assistant to the Chairman with special projects as assigned by the Department Chairman including gathering, organizing, and compiling fiscal reports as needed.
G. Serve as a resource for administrative procedures and policies Emergency Medicine faculty, staff and other administrative personnel; direct the compilation and maintenance of procedure manuals and informational materials.
H. Assist in the development of physician and non-physician faculty and professional administrative appointments, professional service university contracts and clinical medical service agreements.
I. Build relationships with department faculty and serve as a resource for the faculty on financial issues.
J. Trains and supervises Departmental and Divisional staff on fiscal policies and procedures to assure compliance with University rules and regulations.
K. Responsibilities encompass purchasing, payroll, reconciliation, reporting, grants, revenue contracts, office managers and residency coordinators.
L. Responsible for reconciliation of Department healthcare accounts into the UMS account system.
M. Posts financial information to accounting system. Makes adjustments and reconciles various accounts on a monthly basis
II. SERVICE 15%
N. Serve on University, school-wide and department committees, as requested.
O. Represent the Department on behalf of the Assistant to the Chair in a variety of institutional meetings.
P. Other related duties as assigned.
 Qualifications
MINIMUM QUALIFICATIONS
1. Bachelor's degree in business administration, management, or a field related to the position
2. Two (2) years professional level accounting, managerial and/or business experience in a University/ Healthcare/Medical environment. Note: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.
