Exhibits and Events Manager

Come join a fantastic team! The role is part of a high-energy, fast moving marketing team – responsible for developing, executing, and measuring exhibits and event programs within a standard work process. Position reports to the Manager, Field Marketing Americas within Leica Microsystems (LMS) and supports five separate business/product functions. The position requires strong tradeshow/event/meeting planning, project management and execution skills, as well as solid budgeting and expense tracking experience.

The Exhibits and Events Manager will be accountable for the entire exhibit/event life cycle of planning, implementation, reconciliation and follow-up/debrief. This event life cycle can include concepting, cost analysis and payments, project/budget plans, selecting/hiring vendor partners, venue sourcing/booth selection, contract negotiations, onsite support, accommodations/group housing, food and beverage, transportation, event registration, production, final billing/reconciliation.

This is a dynamic work environment with competing priorities and deadline pressures. The ideal candidate must be self-driven, collaborative, flexible, patient, results-oriented, detail-oriented, well organized, and willing to tackle concurrent tasks and projects as requested. The ideal candidate will be comfortable with ambiguity, be able to adapt to urgent, last-minute challenges, yet stay focused on long-term projects and develop creative solutions as problems arise.

YOUR RESPONSIBILITIES

+ EXHIBITS & EVENT PLANNING: Working with Marketing Managers, develop and maintain national tradeshow and conference calendar of more than 35 such events a year (travel for 15-35%), tracking budgets and reconciling financials, with a key goal of reducing costs whenever possible.

+ EXHIBITS & EVENT EXECUTION: Organize and lead regular planning meetings around exhibit and event execution. Research, evaluate and book exhibit space, based on annual National Tradeshow Schedule, ensuring critical deadlines are communicated and managing administrative and operational task completion starting with compliance application through to final financial reconciliation for each event. Working with Marketing Managers, report out on event results.

+ INTERNAL EVENT EXECUTION: Project manage annual National Sales and Service Meeting end-to-end, starting from site selection through final financial reconciliation post-event.

+ EVENT CONTRACTS: Work closely with internal sourcing partner to prepare contractual agreements and negotiate contract modifications. Analyze and evaluate event contract terms and conditions to verify and ensure compliance with company policies.

+ LOGISTICS MANAGEMENT: Collaborate with 3rd party vendors/suppliers to manage existing booth properties, maintain inventory or rent quality properties while identifying ongoing cost-effective options. Manage onsite logistics for events in regards to labor, show management, show services, material handling/drayage, electric, A/V, catering, etc. Coordinate on-site setup and teardown, plan after-hours team events or pre-show sales meetings at offsite locations.

YOUR PROFILE

+ 5+ years of experience managing tradeshows and events in a corporate setting

+ Ability to work independently and self-manage, with a willingness and ability to travel (approx. 5 – 7 day intervals), as required; 15-35%, and ability to walk long-distances and lift and move up to 40 lb. boxes

+ Ability to manage several ongoing projects at a time – in various stages

+ Strong ability to manage large, daily workload, with high attention to detail and documentation and familiarity with cost analysis, accounting reconciliation and budgetery responsibilities

+ Team player and leader who possesses strong interpersonal, written and oral communication skills; experience in life science or medical industry is a plus

The salary range or this role is $85,000-$100,000 annually. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.
